General Description The Project Administrator helps to manage project coordinator, financial oversight, client relations and onsite construction support. The Project Administrator is responsible for ensuring effective documentation of project budgets, estimating project timelines and fostering strong client relations. This role supports the General Manager of Neighborly Construction while maintaining availability to all project managers. This position has a critical role in supporting the long term goals of Neighborly Construction and its projects. Supervisory Responsibilities * Oversee the scheduling, assignments, and daily workflow of multi-family projects under Neighborly Construction. Essential Duties and Responsibilities This job description is designed to provide a general overview of the expected responsibilities. It is important to note that additional duties may be assigned as required to ensure the success of both the community and the companys objectives. • Coordinate with clients and outside vendors throughout the project lifecycle., • Assist the General Manager with scheduling, communications, and task tracking., • Procure mobile offices, internet connections, and necessary field technologies., • Assist with processing and tracking vendor invoices., • Collaborate with accounting on billing accuracy and approvals., • Serve as in-house notary for official documentation needs., • Manage the creation, management, and documentation of project contracts., • Work closely with the Superintendent and construction employees to ensure field implementation aligns with project drawings and specifications., • Collaborate with the Superintendent to identify and resolve field issues promptly., • Produce, monitor, track, and distribute ASIs, RFIs, and Submittals., • Manage the procurement process for materials and equipment, ensuring timely delivery., • Track job costs, material deliveries, shop drawings, and other project documentation., • Support in the procurement of building permits, CofO, and other agency or governmental requirements., • Attend and lead weekly OAC meetings; provide consistent progress updates to owners., • Prepare and issue meeting minutes, and track follow-up action items., • Prepare, track, and negotiate change orders in coordination with the project team., • Maintain accurate and up-to-date as-built drawings on-site., • Assist with special project requirements as they arise., • Proactively identify and resolve potential project challenges or delays., • Organize and manage preconstruction invitations to bid., • Review subcontractor proposals and assist in selection process., • Create, distribute, and track AIA documents for clients and lenders., • Coordinate with Property Management and Project Managers on Certificates of Occupancy, unit turnovers, and warranty scheduling. Required Knowledge, Skills, and Abilities • Ability to manage difficult or emotional customer situations using the outward mindset., • Excellent verbal and written communication skills., • Excellent time management skills with a proven ability to meet deadlines., • Motivated to respond promptly to customer needs; Solicits customer feedback to improve service., • Strong communication, organizational, and time management skills., • Thorough knowledge of construction laws and regulations., • Ability to act with integrity, professionalism, and confidentiality., • Proficiency in Microsoft Office suite, and any Construction software., • Ability to interact with others, placing a strong emphasis on the concepts of the Outward Mindset., • Skilled at handling multiple competing priorities and deadlines while paying close attention to detail. Education and Experience • Bachelors degree in project management with a minimum of 3 years of relevant experience,, • At least five (5) years of admin experience, with an emphasis in managing large scale construction projects. Certificates, Licenses, Registrations • OSHA 30 certification., • Frequently required to stand., • Frequently required to walk., • Frequently required to sit., • Frequently required to utilize hand and finger dexterity., • Frequently required to travel to sister properties and other Neighborly functions., • Occasionally required to climb, balance, bend, stoop, kneel or crawl., • Continually required to talk or hear., • Occasionally required to work on an active construction site, while sometimes operating out of the construction office., • Frequently exposed to outside weather conditions., • Occasionally exposed to bloodborne and airborne pathogens or infectious materials., • While performing the duties of this job, the noise level in the work environment is usually moderate to loud., • The employee must occasionally lift and/or move up to 25 pounds., • Specific vision abilities required by this job include close vision; distance vision; color vision; peripheral vision; depth perception and ability to adjust focus.
