Job Description Corporate Administrative Assistant Part-time Hourly Lakeland, FL – Campus, Lakeland, FL, US Job Summary The Corporate Administrative Assistant will provide a broad range of support services for the Corporate Projects Department and Chief Financial Officer. This position requires a high level of emotional intelligence, and the ability to manage sensitive and/or confidential information with careful discretion. The Administrative Assistant will need to maintain, a high level of customer service, have the ability to make sound judgements while in a fast-paced environment, and have a high attention to detail. This Administrative Assistant will possess strong written and verbal communication skills, the ability to consistently assess priorities, and strong organizational and administrative skills. The successful applicant will enjoy working behind the scenes on administrative tasks to ensure a smooth-running office but also provide quality customer service both internally and externally. They will be able to efficiently execute tasks and communicate barriers. This role requires excellent collaboration on projects and the motivation to execute various individual tasks daily. Essential Duties and Functions • Participate on a team that ensures compliance with the dual control of daily mail processing, including driving a company owned vehicle to pick up the mail from the post office., • Support Organizational needs including overflow calls and provide front desk support as needed, • Maintain the quality of data within the contracts database including timely uploading of documents and approvals., • Manage the department email inbox ensuring timely responses, delegation of incoming messages, proper filing and the ability to discern when an email is to be flagged as a high priority., • Utilize Sharepoint for the review, storage and management of Department files, • Record and distribute thorough meeting notes to collaborating departments, build out appropriate Asana tasks including due dates and assignees, based on next steps., • Utilize the project management system (Asana) to update and manage tasks on assigned Projects, • Coordinate and manage systems to organize and maintain records/files., • Handle confidential, sensitive information with discretion., • Provide support to the Executive Director of Corporate Projects and Administration, • Perform other duties as may be assigned. Required Experience and Qualifications • High school diploma/GED., • Relevant experience in administrative work., • Minimum age of 21 (drive an agency owned vehicle), • Proficient in Microsoft Office 365 products, specifically Word, Excel, Teams, and Outlook and willingness to work in and/or learn efficiency platforms such as SharePoint, Asana, etc. Competencies • Present oneself, both at and outside of work, in a manner keeping with One More Child’s Core Values of Humble, Hungry, Wise, and Called., • Dependable, highly motivated self-starter, • Detail oriented, highly organized, and able to handle a variety of tasks and responsibilities in a timely and efficient manner with a high level of quality and accuracy, • Ability to maintain confidential employee, client, and organization information, • Demonstrate effective communication skills, both oral and written, • Ability to understand and follow oral and written instructions, meet deadlines, and work independently and as part of a team, • Ability to build effective professional working relationships internally and externally, • Ability to solve daily problems by analyzing situations, determining appropriate next steps, and implementing solutions, • Ability to maintain a positive attitude that promotes constructive resolution of problems and concerns, • Possess time and priority management skills, • Possess a general knowledge of standard office practices and office equipment Spiritual Qualifications It is the mission of One More Child to provide Christ centered services to vulnerable children and struggling families.
