Free Wheelchair Mission is seeking a Manufacturing Administrative Assistant who not only meets the requirements of the job but has an interest in being part of an organization that is making a significant difference in the lives of individuals in need throughout the world. Job Summary: This is a full-time, non-exempt position for a highly organized, detail-oriented professional with outstanding interpersonal skills and a strong sense of initiative. S/He will be responsible for meeting the administrative needs of the Manufacturing team. Responsibilities: • Assist the Manufacturing Team in the management of email, calendars, meeting minutes, and internal communications., • Schedule team meetings and manage Manufacturing and Free Wheelchair Mission organization-wide calendars., • Perform data entry for manufacturing databases – such as Quality Control database, digitizing test reports, and maintaining inventory lists., • Assist Manufacturing Team with general warehouse housekeeping, such as disassembling wheelchairs and organizing samples and tools., • Manage wheelchair requests – assemble new wheelchairs as needed, review safe and ready checklist, and update wheelchair database., • Manage ECR documentation by sending forms and reminders, managing the checklist, and doing general follow-up to keep team accountable., • Assist the Manufacturing Team in maintaining and updating manufacturing and logistics processes and procedures., • Provide support by tracking and tracing shipping containers and performing subsequent updates in Salesforce., • Support shipping information data entry into Salesforce, such as general updates, logging emails and notes, and creating accounts., • Become the Salesforce Super User for the Manufacturing Team (within the first year of hire)., • Complete the process of shipping documentation, including Secretary of State and other consulate documents as needed. Includes delivering documents to local government offices., • Support in consolidating packing lists for GIK donations., • Assist in general data file organization in Salesforce and SharePoint., • Perform general follow-up of assigned actions within the department., • Other duties and tasks assigned by direct supervisor., • Occasional evenings and weekends are required., • Minimum 2 years’ experience as an administrative assistant., • Proactive individual with ability to plan ahead and manage multiple tasks with confidence and good follow through., • Excellent organizational skills with a commitment to accuracy and attention to detail., • Outstanding verbal, written, and email communication skills., • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) required., • Proficiency in Salesforce and Smartsheet’s preferred., • Strong oral and written communication skills, • Must have an active driver’s license, • Strong interpersonal skills with ability to work well within a team.
