Job Description Director of Operations Department: Operations Reports To: Chief Operating Officer (COO) FLSA Status: Exempt Work Type: Full-Time | On-Site Overview The Director of Operations provides strong, hands-on leadership across all CFHE departments and business units, ensuring that operational excellence is achieved through disciplined project management and precise execution. Reporting directly to the Chief Operating Officer (COO), this position is responsible for coordinating complex, cross-departmental initiatives, ensuring accountability, and maintaining a culture of organization, follow-through, and results. The Director of Operations serves as both a leader and an implementer—managing multiple initiatives concurrently while establishing clear processes for planning, tracking, and performance evaluation. This role requires exceptional organizational skills, a structured approach to execution, and deep experience in applying project management tools and methodologies to healthcare operations. Leadership and Supervisory Scope Leads and supervises operational teams, managers, and cross-functional workgroups responsible for implementing system-wide projects and process improvements. Establishes standards for project execution, communication, and accountability. Provides mentorship, direction, and structured coordination among departments to ensure that initiatives are delivered on time, within scope, and aligned with CFHE’s strategic and operational priorities. Core Responsibilities · Lead and manage the execution of organization-wide projects, ensuring milestones, deliverables, and outcomes are achieved within defined timelines and budgets. · Implement structured project management frameworks, including work plans, milestone trackers, and risk mitigation strategies to manage complex initiatives. · Review, analyze, and report on comprehensive progress reports, dashboards, and executive updates that reflect key project indicators and operational metrics. · Facilitate regular operational and project review meetings, document key decisions, and ensure follow-through on action items. · Develop and maintain a centralized system for monitoring project status, dependencies, and deliverables across departments. · Ensure alignment and integration of operational workflows across all CFHE sites and programs. · Coordinate resource allocation, scheduling, and task delegation using structured project management principles. · Oversee development of project charters, stakeholder communication plans, and post-project evaluation summaries. · Lead operational improvement projects to streamline processes, reduce costs, and enhance service delivery. · Use quality improvement methodologies such as PDCA, Lean, and Six Sigma to identify inefficiencies and implement measurable improvements. · Collaborate with executives, department heads, and technical leads to ensure interdepartmental coordination and transparency. · Manage vendor relationships and contracts to ensure timely delivery, performance, and compliance with operational standards. · Develop and enforce operational policies, standard operating procedures (SOPs), and performance benchmarks. · Promote a culture of accountability, continuous improvement, and project discipline throughout the organization. Minimum Qualifications · Bachelor’s degree in Business Administration, Healthcare Administration, or a related field required; Master’s degree preferred. · At least five (5) years of progressive operational leadership experience, including at least three (3) years of managing multi-departmental projects or programs. · Demonstrated experience in implementing project management methodologies, tools, and software (e.g., MS Project, Smartsheet, Asana, or similar). · Formal project management certification (PMP, Lean Six Sigma, or equivalent) strongly preferred. · Experience managing operational budgets, contracts, and vendor relationships across multiple business units or service lines. · Proven ability to manage multiple high-priority projects simultaneously under tight deadlines. · Healthcare or Federally Qualified Health Center (FQHC) experience preferred. · Spanish speaker is highly preferred. Required Skills and Abilities · Exceptional organizational skills with a strong focus on structure, timelines, and accountability. · Strong analytical, problem-solving, and critical thinking abilities. · Advanced proficiency in project planning, milestone tracking, and risk management. · Excellent verbal and written communication skills, including experience leading meetings and presenting progress reports to executive leadership. · Ability to apply project management software and tools to streamline coordination and enhance transparency. · Demonstrated leadership and team-building skills with the ability to influence and motivate diverse teams. · High degree of professionalism, discretion, and ethical integrity. · Strong understanding of operational efficiency, quality improvement, and compliance frameworks (HIPAA, HRSA, etc.). Working Conditions and Physical Requirements · Work is primarily performed in an office setting with frequent collaboration across departments and with executive leadership. · Occasional travel required between CFHE sites and external partner locations. · Must be able to sit or stand for extended periods and use standard office and project management tools. · May be required to work flexible or extended hours to meet project milestones or operational deadlines.
