Job Description Position Overview The Project Manager role is an organizational, client-facing position focused on coordination, communication, and day-to-day project momentum. This role supports the creative and technical work of the design team by ensuring projects move forward smoothly, deadlines are met, and clients feel informed and supported throughout the process. The Project Manager does not need to be the technical expert on construction details but must have a working understanding of residential design and renovation processes, strong professional judgment, and exceptional organizational skills. This role is ideal for someone who thrives in a highly collaborative, in-person studio environment, enjoys wearing many hats, and excels at communication, logistics, and follow-through. This is not a senior designer role. While prior exposure to construction or kitchen and bath projects is helpful, the primary focus of this position is coordination, organization, and client communication rather than technical leadership. Success in this role is measured by smooth project flow, clear communication, proactive problem-solving, and a consistently positive client experience. Key Responsibilities · Own the day-to-day management and coordination of multiple high-end residential design and construction projects from kickoff through closeout. · Serve as the primary point of contact for clients on assigned projects, managing communication, setting expectations, and ensuring a high-touch, well-organized client experience. · Maintain and drive project schedules, task lists, and deliverables, proactively identifying next steps and keeping projects moving forward. · Coordinate closely with Senior Designers, principals, and internal teams to support design development, documentation, and execution. · Manage construction administration tasks including coordination of site visits, tracking RFIs and change orders, and facilitating communication between the design team and contractors. · Support procurement and installation logistics, including tracking orders, lead times, deliveries, and installation readiness in partnership with the design and procurement teams. · Oversee installations and punch list completion, ensuring all project deliverables are executed accurately, efficiently, and to the company standards. · Track and support project budgets, assisting with cost monitoring, approvals, and documentation throughout the life of each project. · Prepare and distribute client communications, meeting notes, proposals, and project updates in coordination with the design team. · Identify potential issues early and escalate appropriately, collaborating with the team to resolve challenges related to schedule, scope, or logistics. · Collaborate with outside architects, contractors, vendors, and consultants to maintain alignment and momentum across all project phases. · Maintain clear, organized project documentation and records to support internal coordination and client transparency. Required Qualifications · Minimum 3-5+ years of experience supporting or managing high-end residential design or construction projects, ideally within a full-service interior design firm, architecture studio, or luxury residential environment. · Demonstrated ability to manage multiple active projects simultaneously while maintaining organization, accuracy, and consistent follow-through. · Strong understanding of residential design and construction workflows, including renovation and new-build project phases, even if not serving as the technical lead. · Excellent communication skills with the ability to confidently and professionally interact with clients, designers, contractors, vendors, and consultants. · Highly organized and detail-oriented, with strong time management skills and the ability to track many moving parts at once. · Calm, solutions-oriented, and resilient under pressure, with the ability to problem-solve collaboratively and maintain composure in a fast-paced environment. · Proactive and self-motivated, with the ability to anticipate needs, take ownership of tasks, and follow through without constant oversight. · Comfortable working in a dynamic, in-person studio environment where priorities may shift and collaboration is essential. · Strong interpersonal skills and a positive, professional demeanor, with a team-first mindset and willingness to support others. · Open to constructive feedback and committed to continued professional and personal growth. · Comfortable working in an environment where projects move quickly and priorities may shift, requiring flexibility and strong judgment. · Proficiency in AutoCAD, Studio Designer or similar project management software, Microsoft Office Suite, and Google Workspace. Canva experience is a plus. Ability and willingness to work primarily in person from our Cos Cob, Greenwich studio, with regular travel to project sites throughout Westchester County and Fairfield County. Limited remote flexibility may be negotiated on a case-by-case basis.
