Job Description About the Role We are seeking an experienced Accounting Manager to lead the day-to-day accounting and financial activities of an organization supporting a large, complex program serving our nation's Veterans. This is an opportunity to play an important role in an organization whose work supports a meaningful mission. While the Accounting Manager's responsibilities are financial in nature, the accuracy, reliability, and effectiveness of our financial operations help support the broader team responsible for delivering on that mission. This is a fully remote position. Reporting to the CEO, the Accounting Manager will work closely with a strong operational leadership team and other back-office functions, particularly Human Resources, to ensure accurate financial reporting, timely and accurate client invoicing, continuous financial forecasting, and fulfillment of contractual reporting requirements. This is a hands-on role requiring strong accounting fundamentals, excellent analytical skills, and exceptional attention to detail. Client billing is an important responsibility of the position and, while the process is straightforward, accuracy and completeness are critical. The Accounting Manager will use approved timekeeping information, contractual rates, and other applicable data to prepare accurate and timely client invoices. The Accounting Manager will also maintain ongoing forecasts of contract financial performance and provide the CEO and operational leadership with timely information regarding actual and projected revenue, labor costs, expenses, profitability, and overall contract performance. Accounting & Financial Reporting • Manage day-to-day accounting activities, including general ledger, accounts payable, accounts receivable, cash management, and account reconciliations., • Manage monthly, quarterly, and annual close processes., • Prepare and review financial statements, balance sheet reconciliations, management reports, and supporting schedules., • Ensure financial transactions are recorded accurately, consistently, and timely., • Maintain appropriate accounting policies, procedures, documentation, and internal controls., • Research and resolve accounting discrepancies and unusual transactions., • Monitor cash balances and maintain short-term cash-flow projections., • Provide financial analysis and reporting to the CEO and operational leadership. Client Billing & Accounts Receivable • Own and manage the client billing process, ensuring invoices are accurate, complete, timely, and compliant with contractual requirements., • Utilize approved timekeeping information to calculate billable labor based on applicable contractual rates., • Validate invoice information against employee data, staffing information, contractual rates, and other supporting documentation., • Work closely with Human Resources and Operations to identify and resolve discrepancies prior to invoice submission., • Prepare, review, and submit client invoices in accordance with contractual requirements and schedules., • Maintain appropriate supporting documentation for invoiced amounts., • Monitor accounts receivable, aging, collections, and outstanding payment issues., • Provide leadership with visibility into invoicing status, unbilled amounts, receivables, and collections. Forecasting, Contract Reporting & Financial Analysis • Maintain a continuous financial forecast for the contract, incorporating current staffing, labor costs, revenue, expenses, and anticipated operational changes., • Regularly update forecasts based on actual results, staffing changes, hiring plans, compensation changes, and other operational assumptions., • Compare actual results to forecasts and identify, analyze, and communicate significant variances., • Partner with the CEO and operational leadership to incorporate business and staffing changes into financial projections., • Prepare recurring financial and operational reports required under the contract., • Ensure contractual reporting is accurate, timely, consistent, and supported by appropriate underlying data., • Monitor contract financial performance and identify emerging trends, risks, issues, and opportunities., • Support scenario modeling and financial analyses for staffing, operational, and business decisions. Payroll & Human Resources Coordination • Work closely with Human Resources to ensure payroll, timekeeping, employee, and financial information required by Accounting is accurate, complete, and available when needed., • Utilize approved timekeeping and payroll information as inputs to accounting, client invoicing, forecasting, and contractual reporting., • Coordinate with Human Resources regarding staffing changes, new hires, terminations, compensation changes, and other employee activity affecting financial results and forecasts., • Identify and resolve discrepancies among timekeeping, payroll, employee, and accounting information. Operational Partnership & Process Improvement • Serve as the primary accounting and financial partner to the CEO and operational leadership., • Provide timely financial information and analysis to support operational decision-making., • Work collaboratively across Accounting, Operations, and Human Resources to ensure alignment of financial and operational information., • Develop and maintain effective accounting, forecasting, invoicing, and reporting processes., • Identify opportunities to improve and automate financial processes, reconciliations, and reporting., • Help establish effective controls while maintaining the flexibility and responsiveness required to support a large and dynamic program., • Contribute beyond traditional accounting responsibilities when needed, partnering with the broader team to solve problems, support operational priorities, and help move important initiatives forward. What We're Looking For • Bachelor's degree in Accounting, Finance, Business Administration, or a related field., • 7+ years of progressive accounting experience, including at least 2 years in an Accounting Manager, Assistant Controller, Senior Accountant, or comparable role with responsibility for financial reporting and general ledger accounting., • Experience with client invoicing and accounts receivable, including labor-based or contract-based billing., • Strong experience with financial forecasting and management reporting., • Experience using employee timekeeping and payroll data to support financial processes and analysis., • Experience managing month-end and year-end close., • Working knowledge of payroll accounting, accounts payable, cash management, reconciliations, and internal controls., • Strong Microsoft Excel and financial systems skills, including the ability to work with and analyze large amounts of financial and operational data., • Exceptional attention to detail and a commitment to accuracy., • Strong analytical, organizational, and problem-solving abilities., • Ability to manage multiple priorities and recurring financial and contractual deadlines., • Strong communication skills and the ability to work effectively across Accounting, Operations, Human Resources, and senior leadership., • Adaptability and a team-first mindset, with the willingness to step outside traditional accounting responsibilities when circumstances require it., • A hands-on approach and willingness to personally investigate and resolve financial and operational issues. The successful candidate will be highly detail-oriented and recognize that seemingly straightforward financial processes - particularly client invoicing - require discipline, careful review, and consistent accuracy. They will build strong working relationships with the CEO, Operations, and Human Resources and translate operational information into accurate financial results, invoices, reliable forecasts, and meaningful contractual reporting. We also value someone who is adaptable and comfortable wearing multiple hats.
