We are seeking an experienced, highly organized, and self-directed Executive Assistant/Paralegal to support one of our firm owners. This role requires someone who can independently manage personal injury cases and provide executive-level administrative support without constant oversight. You will be trusted with deadlines, client communication, document accuracy, and case organization. If things fall through the cracks, it mattersso we are looking for someone who naturally prevents that from happening. This Role Is NOT a Fit If: • You have only assisted attorneys but have not independently managed PI cases, • You need frequent reminders to follow up, meet deadlines, or complete tasks, • You are seeking an entry-level, training, internship, or support-only role, • You struggle with organization, proofreading, or juggling competing priorities, • You prefer slow-paced or highly supervised environments Please only apply if you meet the experience and independence expectations below. To apply please send resume directly to What Youll Be Responsible For Personal Injury Case Management • Independently manage PI cases from intake through settlement, • Set up and maintain complete case files, deadlines, and task tracking, • Draft, proofread, and prepare legal documents, demands, petitions, and correspondence, • Request, organize, summarize, and track medical records, billing, and treatment updates, • File legal documents electronically and ensure deadlines are met, • Maintain consistent communication with clients regarding case status, • Assist with discovery, motions, hearings, depositions, and trial preparation, • Support eDiscovery activities, document review, indexing, and summaries, • Manage attorney calendars, scheduling, reminders, and follow-ups, • Handle emails, calls, and correspondence professionally and efficiently, • Prepare agendas, reports, and internal communications, • Maintain task lists and ensure action items are completed on time, • Assist with office coordination, internal events, and administrative needs, • Operate with minimal supervision while keeping leadership informed Required Qualifications (Non-Negotiable) • 3+ years of experience in a personal injury law firm, • Direct experience managing PI casesnot just assisting, • Proven ability to self-manage, prioritize, and follow through, • Strong written communication, proofreading, and attention to detail, • Ability to manage multiple cases and deadlines simultaneously, • Proficiency in Microsoft Word, Outlook, Excel, and case management systems, • Solid understanding of legal terminology, procedures, and workflows What Success Looks Like in This Role • Deadlines are met without reminders, • Documents are accurate and professionally prepared, • Cases are organized, up to date, and easy for attorneys to step into, • Clients feel informed and supported, • Leadership can trust that things are handled Benefits • Health, Dental & Vision Insurance, • Simple IRA Retirement Plan, • Merit-Based Bonuses, • 3 Days PTO + 10 Days Vacation, • Additional PTO through firm-wide competitions, • Employee appreciation events (axe-throwing, bowling, etc.), • Weekly catered breakfasts & monthly team lunches To apply please send resume directly to hr@ricekendig.com
