As a Regional Coordinator for Heatherwood, you will play a vital role in supporting both our maintenance operations and lease-up activities (if applicable) across multiple residential communities. You will help ensure ongoing performance of new and existing properties by coordinating vendors, maintenance teams, leasing staff, and residents to deliver exceptional service and operational excellence. Requirements: Your Responsibilities: Scheduling & Project Coordination • Schedule make-ready, inspection, assessment, move-out, and unit-turn appointments (painting, cleaning, and repairs)., • Coordinate between Maintenance Managers, Vendors, Construction, Leasing, and Residents to ensure timely project completion., • Schedule elevator usage for move-ins, move-outs, and vendor work if needed., • Send E-blasts and notifications for maintenance updates, project work, and resident communications., • Create and manage purchase orders for supplies and services, ensuring accuracy and proper documentation., • Verify budgets, GL coding, and capital expenditure allocations., • Track open purchase orders and reconcile discrepancies with Accounting., • Maintain and update all contract trackers, oversee renewals, and coordinate modifications with Legal., • Prepare and submit permit applications; monitor expirations, renewals, and required inspections., • Ensure all vendors maintain current insurance, certifications, and compliance documents., • Coordinate inspections with vendors and city agencies (Cooling Towers, Rigs, Department of Labor)., • Oversee rig and window work, including technician training and certification tracking., • Serve as a professional, friendly point of contact for residents during the pre-move-in and move-in process., • Coordinate move-ins and move-outs to ensure a smooth, timely, and positive resident experience., • Address resident inquiries and route maintenance or policy questions appropriately., • Support resident satisfaction and retention initiatives., • Set up new vendors and manage insurance packets and renewals., • Maintain spreadsheets and data for vendor pricing, compliance, and project tracking., • Support cross-department collaboration and assist Maintenance Managers with departmental initiatives. Requirements What You Bring to Heatherwood: • 2–5 years of experience in property management, maintenance coordination, or leasing administration., • Prior lease-up or multifamily operations experience strongly preferred., • Excellent verbal and written communication skills., • Strong organizational, scheduling, and multitasking abilities., • Problem-solving and process improvement skills., • Proficiency in Microsoft Office 365, SharePoint, Windows 10, and Excel (advanced reporting)., • Experience with Yardi and Suite Spot software preferred., • Familiarity with Fair Housing laws and NYC/NYS regulatory requirements (permits, inspections, insurance)., • Customer service–oriented with a positive, team-focused attitude. Job Description Job Type: Shift Supervisor FSLA Classification: Non-Exempt Reports to: Director of Program Operations Location: Far Rockaway, Queens, NY Hourly Range: $27.47 - $30.21 Objective: Lantern Community Services is seeking a dedicated and motivated Shift Supervisor for a new Men's Mental Health Homeless Shelter in Far Rockaway, Queens NY. Shift Supervisors are responsible for a variety of specialized assignments in a homeless shelter; in addition, experience in site management and staff supervision is needed as well as previous experience in working with clients with mental health issues. The shift supervisor will report to the Director of Program Operations. Shift Supervisors will oversee designated operations of the shelter, supervising a team of Residential Aides and working in coordination with Social Services, Maintenance and Security Staff. Essential Functions: • Oversee all shelter operational tasks during operating hours including bed signing procedures, supply issuance, meal rosters, property storage, locker inspections, daily dorm inspections, facility logbook, incident submission, etc., • Supervise a team of Residential Aides to ensure safe and efficient provision of services to all clients and staff., • Ensure all clients have timely access to client services (meals, laundry, toiletries, medications, etc.), • Lead subordinates in Safe Crisis Management techniques and other crisis management models., • Ensure appropriate document processing of new and returning clients, (i.e., submit to DHS for approval and bed assignment), • Oversee bed sign-ins, curfew checks and vacancy reporting in CARES., • Work collaboratively with Maintenance, Security, Vendors and Emergency Responders on site., • Monitor video surveillance cameras, and fire prevention / detection alarm notification system., • Complete assigned paperwork responsibilities (i.e., Log, incident reports, DHS reports and all other reports), • Assist Facility Manager, preparing and executing fire drills (as well as fires) or in other cases., • High School Diploma, GED, or HSE is required, • 3 years shelter experience as an RA, CM, etc. with 1 year of supervisory experience, • Possession of a valid Food Handler’s License, or the ability to obtain one within six (6) months of hire, is required., • Must be able to work independently and as part of a team to complete complex projects in a fast-paced environment., • Must be capable and comfortable with crisis management., • Computer proficiency with proficiency in Word, Excel and the ability to learn new technologies and databases., • F-80 Fire Safety Coordinator certification, required (or ability to obtain F 80 certification), • NYC Food Handlers Certificate or ability to obtain in 2 months., • Bilingual (English/Spanish) preferred., • Exhibit empathy towards the serviced population., • Must have excellent interpersonal communication skills (oral & written), • Preferred CPR/First Aid Certification Work Environment: This job operates in a shelter environment and works with a population who may experience mental illness, substance use, disability, HIV/AIDS, and other chronic illnesses.
