About the Role We are seeking a highly motivated, detail-oriented Executive Assistant to the Managing Partner who will serve as a true right hand in both professional and personal capacities. This is a hands-on role where your primary responsibility is to support the Managing Partner throughout the day and ensure everything stays organized, on track, and operating at a high level. This may include everything from managing schedules and priorities to handling day-to-day tasks that make operations run smoothly. You will be expected to anticipate needs, stay one step ahead, and execute quickly. No task is too big or too small—whether it’s coordinating meetings, following up on tasks, or handling simple requests like grabbing coffee or running an errand. This role also requires a high level of flexibility and commitment. The schedule will largely align with the Managing Partner’s schedule, which may include early mornings, late evenings, and occasional weekend availability. When the Managing Partner is working, you are expected to be responsive and available to support. Responsibilities Responsibilities include, but are not limited to: • Serve as the primary support to the Managing Partner, ensuring all daily priorities, tasks, and commitments are organized and executed, • Manage and maintain schedules, including meetings, calls, deadlines, and reminders, • Keep the Managing Partner on track throughout the day by proactively following up on tasks and priorities, • Anticipate needs and stay one step ahead to ensure nothing falls through the cracks, • Handle day-to-day administrative and personal tasks, including errands, coordination, and ad hoc requests, • Coordinate meetings, prepare materials, and ensure all logistics are handled in advance, • Communicate with internal team members to relay instructions and follow up on deliverables, • Monitor ongoing tasks and projects, ensuring timely completion and accountability across team members, • Assist with email management, drafting responses, and organizing communications as needed, • Maintain organization of documents, files, and important information, • Support basic operational tasks to help ensure the firm runs smoothly on a daily basis, • Attend meetings, take notes, and track action items when needed, • Handle sensitive and confidential information with discretion, • Take initiative in identifying inefficiencies and helping improve day-to-day workflows Qualifications • Fluent in both English and Mandarin Chinese (spoken and written) – REQUIRED, • Highly organized, detail-oriented, and able to multitask in a fast-paced environment, • Strong sense of urgency and ability to follow through on tasks, • Proactive mindset with the ability to anticipate needs and take initiative, • Excellent communication skills (written and verbal), • Ability to handle sensitive and confidential information with discretion, • Prior experience as an executive assistant, personal assistant, or similar role preferred, • Comfortable handling both professional and personal tasks, • Proficiency in Microsoft Office (Word, Excel, Outlook) required, • Experience with tools such as Clio or project management systems is a plus Application Question(s) • Why are you interested in this role?, • This role requires flexibility and availability outside standard hours.
