Job Description Position Information Job Title: Medical Transcription & Workers' Compensation Documentation Specialist Department: Clinical Operations / Workers' Compensation Documentation/Medical Records Reports To: Medical Director Employment Type: Full-Time (no overtime), Direct Hire, Onsite Primary Work Location: Lakewood, California (Also Supports Satellite Clinic Locations) Position Summary The Medical Transcription and Workers' Compensation Documentation Specialist supports providers by ensuring accurate, timely clinical documentation and real-time authorization processing. This role is responsible for preparing and submitting Requests for Authorization (RFAs), transcribing clinical and procedural documentation, and maintaining accurate EMR records to support patient care, regulatory compliance, and revenue cycle efficiency. The position supports documentation workflows for the main office and satellite clinic locations, ensuring consistent documentation quality and authorization processing across all practice sites. Essential Duties and Responsibilities Department of Workers' Compensation (DWC) Documentation & RFA Processing (Primary Focus) Prepare and submit Department of Workers' Compensation (DWC) Requests for Authorization (RFA) in real time or same day when clinically appropriate. · Review documentation for completeness before submission. · Support documentation preparation for UR and IMR appeals when needed. · Assist with authorization documentation workflow for central and satellite clinic locations. Medical Transcription & Report Entry · Transcribe physician dictation for progress notes, procedure notes, medical-legal reports, and in-house procedural documentation. · Enter finalized reports into the EMR (MediTab - Microsoft Office-based) and patient chart. · Edit speech recognition drafts to ensure accuracy and completeness. · Maintain consistency in formatting and medical-legal documentation standards. · Support documentation needs across multiple clinic locations as assigned. EMR Data Entry & Documentation Support · Verify Workers' Compensation claim details, including claim numbers, adjuster contact information, date of injury, and employer/carrier information. · Upload and organize supporting clinical documentation and prior records. · Enter new patient demographic and case information into the EMR. *(Not a priority duty – assist only as needed and requested.) * Interdepartmental Collaboration · Work closely with the Workers' Compensation Coordinator, authorization teams, and medical records to ensure timely and accurate submission of RFAs and clinical documentation. · Collaborate regularly with the Medical Director, physicians, and advanced practice providers to support real-time documentation workflow. · Provide limited internal data entry support for referral processing functions during staffing coverage periods, as assigned. · Support internal documentation workflows to ensure complete case records for authorization and clinical decision-making. Compliance and Confidentiality · Maintain strict HIPAA compliance. · Ensure documentation meets California Workers' Compensation regulatory standards. · Maintain confidentiality of sensitive medical-legal documentation. Required Qualifications · Working knowledge of the California Department of Workers' Compensation (DWC) workflow · RFA documentation standards Clinical Knowledge · Pain management and Basic medical terminology. · In-office / in-house procedural documentation familiarity. Technical Skills · EMR data entry experience. · Microsoft Office or equivalent documentation tools. Work Environment · Primary work location: Lakewood, California. · Supports documentation workflows for satellite clinic locations within the practice network. · Onsite clinic-based role supporting multi-provider and multi-site documentation workflow. · High-volume Workers' Compensation and procedural documentation environment. · Deadline-driven authorization and documentation workflow. · Training provided · Flexible schedule can be accommodated as needed and the employer's designee notified in advance, as long as the employee displays consistency with workload output, is reliable, and works on site. The standard workday is Monday–Friday from 9 A.M. to 5 P.M., an 8-hour day/40-hour workweek. No overtime. Paid Biweekly. Role Scope Clarifier This role is primarily focused on medical transcript workers' Compensation documentation and support for authorization workflows.
