The Applied Epic Systems Administrator is the technical and functional subject matter expert for the Applied Epic agency management system supporting agency-wide commercial and personal lines operations. This role is responsible for system administration, configuration, governance, and optimization, while also leading training, mentoring, and best-practice adoption across the agency. This position partners closely with operations service teams, producers, compliance, and leadership to ensure Epic is used consistently, accurately, and compliantly, reducing risk, supporting carrier requirements, and enabling scalable growth. As the agency continues to grow, this role serves as a trusted AMS leader who elevates operational excellence across the agency technology landscape, leading us to reducing E&O exposure through strong documentation and system controls, ensuring carrier compliance and audit readiness, improving operational efficiency, scalability, and consistency. This role serves to empower sales and service teams with reliable, well-designed workflows, and enhances client experience through accurate, timely service. Requirements: Primary Responsibilities: Applied Epic System Administration (advanced/expert level proficiency) • Serve as the agency-wide administrator and primary subject-matter expert for Applied Epic system, • Configure and maintain workflows, activities, templates, forms, document management, automation, and dashboards, • Administer system security, user access, permissions, and role-based controls, • Lead system testing, updates, upgrades, and rollouts to ensure smooth adoption, • Monitor system performance and proactively identify enhancement opportunities, • Align Epic workflows with operations processes, including: endorsements, renewals, certificates, claims, audits, • Support producer and account management workflows, • Translate business needs into scalable system solutions, • Identify and implement automation opportunities to improve efficiency and consistency Data Integrity, Compliance & Risk Management • Ensure accurate processing of carrier downloads, policy data, and commission information, • Establish and enforce Epic documentation standards and required fields, • Perform regular data audits, cleanup initiatives, and quality assurance reviews, • Support carrier audits, regulatory requirements, and internal compliance reviews, • Design and deliver role-based Applied Epic training for new hires and existing colleagues, • Develop and maintain SOPs, job aids, workflow guides, and training documentation, • Provide advanced troubleshooting and coaching support, • Reinforce consistent Epic usage and best practices across all departments Reporting & Analytics • Build, maintain, and enhance Epic reports and dashboards, • Provide operational, compliance, and performance insights to leadership, • Support carrier reporting, audits, and internal reviews, • Partner with leadership to develop system-driven KPIs and metrics Integrations, Vendors & Growth Support • Oversee integrations with third-party tools (eSignature, rating platforms, document management, VOIP, etc.), • Manage vendor relationships related to AMS tools and integrations, • Support data migrations, acquisitions, and book rolls into Epic Required • 5–10+ years of experience working with Applied Epic in a commercial insurance environment, • Advanced Applied Epic expertise (senior administrator, systems lead, or power user level), • Strong understanding of commercial P&C insurance operations and workflows, • Experience supporting compliance, audits, and E&O risk management, • Proven ability to train, mentor, and support users at all levels, • Applied Epic certification(s), • Experience leading Epic implementations, upgrades, or major enhancements, • Experience supporting multi-office or growing agencies, • Background in agency operations, compliance, or technology, • Familiarity with system integrations, data migrations, or acquisition onboarding, • Expert-level Applied Epic proficiency, • Strong systems and process optimization mindset, • Detail-oriented with a focus on data accuracy and compliance, • Ability to translate technical requirements into practical solutions, • Clear, effective communication and training skills, • Proactive, service-oriented leadership approach, • Hybrid work schedule (Tues-Thurs onsite in our beautiful downtown office), • Occasional after-hours support during major system updates or releases, • Close collaboration with operations, sales, and leadership teams, • Fast-paced, detail-driven agency environment
