POSITION SUMMARY As an essential part of the AANP Member Care Center team, the Member Care Coordinator provides comprehensive and exceptional customer service and support to Association members and prospective members via telephone, email, and face-to-face communications; coordinates programs and projects to support membership operations; and provides mail room and logistics operations support. This position is a temp-to-hire role. WHERE YOU WILL WORK This position will work fully in our Austin, Texas National Headquarters office. ESSENTIAL RESPONSIBILITIES You are expected to perform the following essential responsibilities of the position with reasonable accommodation. The position may include other responsibilities as assigned. • Serves as a co-primary point of contact for the Member Care Center, is one of the first staff members to answer inbound phone calls and responds to all tier 1 (basic and routine) requests. Escalates inquiries to the appropriate staff member or department when higher level expertise or assistance is required., • Serves as a primary responder to membership email box and Help Ticket inquiries., • Provides email, telephone, and face-to-face communications to current and prospective members as well as internal staff., • Processes membership applications, dues payments, dues refunds, and automatic renewal transactions both over the phone, in-person and via paper forms., • Assists members with login issues and website navigation., • Makes accurate and complete notes on the member account of each phone call and customer contact in addition to internal notes for special circumstances., • Trains new staff as assigned; Contributes to training documents and plans., • Writes and contributes to Help Center articles and Zendesk standard responses., • Participates in AMS (Association Management System) data clean-up projects as assigned., • Assists with preparation and packing of membership materials for conferences., • Ensures prompt processing, tracking, and distribution of incoming and outgoing mail and other shipments. May be a primary or secondary support duty based on task assignments., • Responds to front office doorbell along with fellow teammates., • Performs all duties with a high level of accuracy, timeliness, courtesy, and professionalism., • Stays abreast of AANP website content and changes, member benefits, and promotions., • Travels to and staffs the AANP conferences as assigned., • Serves as either the primary owner or support/back-up within the Member Care Center for specific duties and projects, as assigned by the VP of Membership, up to and including but not limited to the following:, • NPO memberships, • Coordinates and drives NPO membership duties., • Back-up staff has a working knowledge of the NPO program and benefits., • Administers NPO member benefits, and primary contact/company administrator for communications., • Creates, contributes to, and distributes the NPO newsletter., • Responds to requests and fulfills mailing list rentals for NPO members., • AMS, • Serves as primary owner or back-up for duplicate records actions (AMS, LMS, etc.) as needed. Writes process and procedures and trains staff as needed., • State Liaisons, • Supports State Liaison-related projects as needed., • Employer Membership Program, • Coordinates Employer Membership Program for contracted entities and other groups/companies such as universities., • Leads processing, folding, stuffing and mailing printed renewal forms and inserts; tracks inventory of mailing supplies and marketing materials used in these mailings., • Member Lists for JNP and JAANP, • Sends member lists to JNP and JAANP publications per schedule for electronic table of contents distribution., • International Membership Activities, • Coordinates and administers international membership recruitment and retention initiatives under the direction of the Membership Manager., • Conducts research as necessary for specific countries where international membership marketing efforts will be focused; Contributes to international marketing efforts as assigned., • Reviews international membership data regularly for accuracy and trends and shares reports with the department., • Serves as the primary point of contact for identified country champions who are key contacts in specific countries and assists country champions with raising awareness of AANP and international membership., • Mailroom and Logistics, • Performs mailing and shipping activities., • Performs renewal mailing processing. Pulls data, merges renewal forms, prints forms, and operates the folding and insertion machine., • Ensures prompt processing, tracking and distribution of outgoing mail and outgoing shipments, including but not limited to general shipments, state and national exhibit marketing materials, and podcast equipment. Education Required: Required: Required: • Excellent verbal and written communication skills as well as exceptional customer service skills., • Excellent interpersonal skills and ability to adapt communication style to audience., • Ability to perform all communications in a courteous and professional manner., • Strong emotional intelligence., • Ability to work with others in a fast-paced environment., • Ability to perform tasks with a high level of accuracy and attention to detail., • Computer proficiency involving a variety of software products, including but not limited to Microsoft Office, customer relationship management software, phone systems, member applications, and data entry., • Proficient in basic office skills and etiquette., • Strong work ethic and dependability., • Demonstrated team player that can work collaboratively with others., • Excellent problem solving and organizational skills., • Ability to handle multiple tasks, prioritize, and meet deadlines., • Ability to travel to, and staff, the AANP conferences or events as assigned (minimal travel).
