Program Coordinator 8-month Contract Hybrid(2-3 days onsite) Tacoma, WA Position Overview We are seeking a highly organized and detail-oriented Project / Program Coordinator to support the successful delivery of multiple projects and programs. This role plays a key part in ensuring work progresses in an organized, transparent, and timely manner by supporting scheduling, documentation, reporting, communications, and coordination activities. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities, and collaborates effectively with project managers, stakeholders, technical teams, and vendors to maintain alignment across initiatives. Key Responsibilities Project & Program Coordination • Support day-to-day coordination of project and program activities across multiple workstreams, • Track milestones, deliverables, dependencies, risks, issues, and action items, • Maintain and update integrated project schedules, • Coordinate meetings, workshops, governance reviews, and stakeholder touchpoints, • Prepare and maintain project artifacts including status reports, meeting notes, action logs, schedules, and decision logs, • Organize and manage documentation in shared repositories (e.g., SharePoint, Teams), • Compile updates for leadership, governance boards, and stakeholders, • Act as a central coordination point across business, technical, and vendor teams, • Support clear and timely communication on project status, risks, and upcoming activities, • Prepare stakeholder communications related to project updates and changes, • Assist with project intake, planning, and readiness activities, • Support development and improvement of coordination processes and templates, • Identify interdependencies, resource constraints, and potential conflicts, • Maintain project data in tools such as Smartsheet, Planview, Microsoft Project, SharePoint, Teams, and Excel, • Coordinate calendars, meeting logistics, agendas, and follow-ups, • Support onboarding of new team members and vendors into project processes Required Qualifications • Strong organizational and coordination skills with the ability to manage multiple activities simultaneously, • Excellent written and verbal communication skills, • High attention to detail and ability to maintain accurate documentation, • Ability to collaborate across cross-functional teams, • Sound judgment in identifying and escalating issues, • Proficiency with Microsoft Office and project coordination tools, • Ability to adapt to changing priorities in a fast-paced environment Preferred Qualifications • Experience supporting projects, programs, or portfolios with multiple stakeholders, • Experience managing schedules, tracking logs, and governance materials, • Familiarity with project management methodologies and lifecycle phases, • Experience working with both business and technical teams, • Experience with tools such as Smartsheet, Planview, SharePoint, Teams, or similar platforms, • Experience with Microsoft Project (preferred) About Us: At Brooksource, relationships are the foundation of everything we do.
