Job Description POSITION REPORTS TO Chief Clinical Officer ABOUT THE POSITION The Senior Manager, Programs (SM) position is a full-time position reporting directly to the Chief Clinical Officer (CCO). The (SM) role will provide direct, comprehensive administrative support to the CCO as well as project management for new and existing programs. This role presents an opportunity for a committed and passionate individual to utilize detail- orientation and multi-tasking skills to help ensure efficient operation of the services we offer, leading to greater success in our mission. The ability to connect with the mission and values of Samaritans is vital. The SM will manage multiple responsibilities and projects and work independently. The SM will make informed, timely, and effective business decisions. With the creation of new programs and maintenance of existing programs, the SM will be trustworthy, strategic, and think critically; must have a high level of integrity and possess excellent communication skills both internally and externally. Evening and weekend hours might be required to support business needs. KEY RESPONSIBILITIES Administrative Oversight • Complete a broad variety of administrative and programmatic tasks that facilitate the CCO's ability to effectively lead the organization, • Design and produce complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence, maintaining contact lists; making travel arrangements; and completing expense reports, • Provide administrative support to Senior Program Directors to ensure smooth operations and effective service delivery across the program team, • Provide sophisticated calendar management and prioritize inquiries and requests for CCO while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements, • Create and maintain comprehensive documentation for projects and meetings, • Assist in management of administrative office needs Program Coordination & Support • Manage special projects assigned by CCO including organizing key stakeholders and ensuring timely completion of deliverables, • Support the planning, implementation, and evaluation of key programs and initiatives, • Gather and analyze data across programs to ensure efficacy Organizational Improvement • Identify opportunities for process improvement and increased efficiency, • Act as a "barometer," having a sense for the issues taking place in the environment and keeping the CCO updated, • Anticipate CCO's needs in advance of meetings, conferences, etc., • Coordinate, track, and support activities as needed in collaboration with Senior Leadership Team members, • Utilize and update Salesforce for relevant data entry and information, • Act as support to and liaison between CCO and external partners, • Use and continually develop leadership skills, • Assist in office management duties that support the organization, • All other duties as assigned SKILLS & EXPERIENCE • Minimum 7 years' experience supporting a division leader, • Minimum 7 years' experience supervisory or program management experience, • Proven ability to solve problems strategically, efficiently, and effectively, • Takes initiative, anticipates needs, and works well with minimal supervision, • Ability to work with sensitive information and maintain confidentiality, • Must be able to think critically and display good, sound judgment, • Must possess extremely strong written and oral communication skills and excellent analytical skills, • Strong planning, time management and organization skills; maintains attention to details large and small, • Proficient with MS Office, including Word, Excel, PowerPoint, Outlook, Salesforce, and project management software SPECIAL REQUIREMENTS • Successful completion of the Befriender Training, • Attends conferences and other related meetings outside of the organization as requested by the Chief Clinical Officer, • Support and attend Samaritans key fundraising events, • Other duties as assigned by supervisor SALARY & BENEFITS The salary range for this position is $80,000 to $92,000 annually, and will be determined based on experience and skill set. ● Employer matched 401(k) Plan (Safe Harbor Match- 100% up to 3%, plus 50% from 3- 5%) Short and Long-Term Disability coverage as well as Life Insurance- Premium paid by Samaritans. ● Life Insurance coverage on individual employee benefit of 2x salary, up to $100,000 max. ● Health (85% of premium covered by Samaritans for individual plan), Dental (90% of premium covered by Samaritans for individual plan) and Vision insurance ● Healthcare FSA and Childcare DCA, Commuter Benefits and Employee Assistance Program ● Paid Family Medical Leave benefits- Premium paid by Samaritans ● Generous Vacation (New hires start with 10 days), Sick (8 days) and Personal Time Off (5 days) ● 14 paid holidays per calendar year ● Hybrid work schedule (2 days required in office/week) plus 6 fully remote work weeks ● Mileage Reimbursement ● Employee $300 professional development budget yearly **Out of state applicants will be required to relocate to Massachusetts within three months of employment and also work the same hybrid schedule as all employees.
