We are seeking a highly organized, proactive, and tech-savvy Marketing Operations Coordinator to directly support the Marketing Manager. You will act as a bridge between leadership, the marketing department, and other teams (including operations). Your role involves planning, organizing, delegating, and executing marketing initiatives with precision, while maintaining thorough documentation and adapting to new technologies independently. This hybrid position requires in-office presence on the same days as the Marketing Manager (roughly 50% in-office, 50% remote), with some in-person onboarding time expected in November. Key Responsibilities ️ Planning, Structuring & Documentation • Break down complex marketing initiatives into milestones, tasks, and detailed action plans., • Create and maintain comprehensive documentation for the marketing department, including project trackers, process guides, and reports., • Ensure extreme diligence in organization, keeping all files, tasks, and communications meticulously structured and accessible. Delegation, Team & Interdepartmental Coordination • Assign tasks to marketing staff, external contractors, or operations team members as needed., • Facilitate communication between the Marketing Manager, marketing team, and other departments (e.g., operations for deliveries, events, or promotions)., • Support recruitment efforts for marketing contractors, including initial outreach, interview coordination, and vetting candidates for future full-time roles. Execution Support • Assist in sourcing, ordering, and organizing marketing materials (e.g., “Golden Mile” gift baskets)., • Handle light event planning, onsite initiatives, and occasional support for operations-related tasks., • Learn and implement new technologies or tools independently to streamline processes and improve efficiency. Administrative Support • Draft contracts, emails, meeting invites, task lists, or other documents as needed., • Join recurring planning meetings to help prioritize, track initiatives, and ensure follow-through. Ideal Candidate Items marked with (*) are absolutely required. The ability to adapt, self-learn, and strive for improvement is paramount. • Extremely diligent about organization and detail-oriented (*), • Extremely tech-savvy, with the ability to independently learn and troubleshoot new technologies or software (e.g., ClickUp, Google Workspace, or emerging tools) (*), • Proactive and a strong communicator (*), • Comfortable taking broad ideas and structuring them into actionable plans (*), • Adept at communicating across departments and levels of formality, including with operations (*), • Able to work independently but thrives in collaboration (*), • Excited to build systems from the ground up Preferred Skills • Project coordination experience (even informal), • Familiarity with task management tools (ClickUp, Asana, Todoist, etc.), • Light design skills (Canva) a plus but not required, • Event coordination experience a plus Role Details • Part-Time: 10–30 hours/week (with flexibility)., • Location: Hybrid—must be in-office on the same days as the Marketing Manager (approximately 50% in-office, 50% remote).
