This position is accountable for producing the following results: The Operations Analyst will support the successful onboarding, implementation, and servicing of Data Services clients through the coordination and management of electronic data feed authorizations, client statement access, and onboarding workflows. This role serves as a critical operational liaison between clients, custodians, RIAs, banks, fund administrators, vendors, and internal First Rate teams to ensure data connectivity initiatives are completed accurately, efficiently, and within established onboarding timelines. The Operations Analyst will play a key role in supporting revenue growth and client satisfaction by driving the speed, accuracy, and organization of onboarding initiatives across the Data Services business line. This role directly impacts the success of client implementations, operational scalability, and long-term client retention. This position requires strong communication skills, organizational discipline, project management aptitude, and the ability to professionally represent First Rate in client-facing interactions. STRATEGIC WORK • Support the onboarding and implementation of new Data Services clients through the coordination of custodial, banking, and alternative investment data authorization processes., • Manage and maintain onboarding workflows related to electronic data feeds, statement retrieval access, investor portal access, and third-party data permissions., • Act as a client-facing operational resource throughout the onboarding lifecycle by communicating directly with clients, RIAs, custodians, banks, fund administrators, and vendors., • Coordinate with internal Data Services, Operations, Technology, Sales, and Service teams to ensure onboarding milestones are completed accurately and efficiently., • Support the expansion and scalability of the Data Services business line by helping establish repeatable onboarding procedures, operational documentation, and process efficiencies., • Assist in maintaining operational consistency and quality control across all client onboarding and authorization activities., • Contribute to improving onboarding speed, client experience, and operational transparency through proactive communication and project oversight., • Develop working knowledge of custodial data feeds, statement retrieval processes, alternative investment reporting workflows, and industry operational practices., • Support implementation governance initiatives by documenting onboarding workflows, authorization procedures, and operational dependencies., • Maintain a high level of professionalism and responsiveness while representing First Rate in all client and vendor interactions. TACTICAL WORK • Coordinate onboarding activities for Data Services clients including account setup, custodian authorizations, statement access, and data feed connectivity., • Manage multiple client onboarding projects simultaneously while maintaining detailed tracking of statuses, dependencies, and outstanding items., • Communicate directly with custodians, banks, RIAs, trust companies, fund administrators, and other third parties to facilitate onboarding requirements., • Schedule and participate in client onboarding calls, operational review meetings, and vendor coordination discussions., • Maintain onboarding trackers, project status dashboards, implementation notes, and operational documentation., • Assist clients with completing authorization forms, online access requests, custodian setup procedures, and onboarding documentation., • Monitor onboarding progress and proactively follow up on outstanding requests to ensure onboarding timelines are maintained., • Escalate onboarding delays, operational risks, or client issues to management in a timely manner., • Support internal implementation handoffs from sales to operations and ongoing service teams., • Coordinate with internal operations teams to ensure accurate receipt, delivery, and validation of client data., • Assist in identifying operational bottlenecks and recommend workflow improvements to enhance onboarding efficiency., • Develop familiarity with custodial platforms, investor portals, document delivery systems, and file transmission processes utilized by Data Services clients., • Maintain accurate client records, operational notes, and onboarding history within approved company systems., • Provide exceptional client service through timely communication, organization, responsiveness, and attention to detail., • Support ad hoc operational initiatives, implementation projects, and process improvement efforts across the Data Services business line. Position Specific Standards: • All onboarding projects and operational activities will be tracked and maintained in approved company systems with accurate and current status updates., • Client onboarding communication will be professional, timely, and responsive, with all client inquiries responded to within one business day unless otherwise communicated., • Multiple onboarding initiatives will be managed simultaneously with strong attention to organization, prioritization, and accuracy., • Operational tasks and onboarding documentation will be completed accurately and according to established Data Services procedures., • Escalations, onboarding delays, or operational concerns will be communicated proactively to management., • First Rate’s standards for professionalism, confidentiality, and client experience will be maintained in all interactions., • All client and vendor phone calls, meetings, and written communications will reflect the First Rate brand promise and service expectations., • The Operations Analyst will maintain a working understanding of custodial authorization processes, statement retrieval procedures, and client onboarding workflows., • Operational documentation and onboarding procedures will be maintained and updated as processes evolve., • The Operations Analyst will contribute to the overall efficiency and scalability of the Data Services onboarding function. REQUIREMENTS Skills and abilities: • Excellent written and verbal communication skills are required., • Strong client-facing communication and phone etiquette skills are required., • Ability to communicate professionally with custodians, RIAs, banks, vendors, and executive-level client personnel., • Strong organizational and project management skills with the ability to manage multiple onboarding projects simultaneously., • High attention to detail and operational accuracy., • Ability to prioritize competing tasks and meet onboarding timelines in a fast-paced environment., • Experience with Microsoft Office Suite, project tracking systems, CRM systems, or workflow management tools preferred., • Ability to work cross-functionally across operations, technology, sales, and client service teams., • Technological aptitude and ability to learn custodial platforms, investor portals, and onboarding systems quickly., • Financial services, wealth management, banking, or operations experience preferred but not required., • Experience working with client onboarding, operations, implementation, or service functions is preferred., • Bachelor’s degree in business, finance, communications, or related field preferred but not required.
