The $80 million non-profit performing arts organization has three divisions: TMC Arts, TMC Ops and TMC Business Services. TMC Arts, The Music Center’s programming engine, provides year-round programming inside The Music Center’s four theatres—Walt Disney Concert Hall, Dorothy Chandler Pavilion, Ahmanson Theatre and Mark Taper Forum—as well as on Jerry Moss Plaza, at Gloria Molina Grand Park, and in schools and neighborhoods throughout Los Angeles County. TMC Ops manages the theatres, Jerry Moss Plaza and Gloria Molina Grand Park, which comprise $3 billion in county assets, on behalf of the County of Los Angeles. TMC Business Services includes Advancement, Human Resources, Finance, Tech Services, and Marketing and Communications. The Music Center is also home to four renowned resident companies—Center Theatre Group, Los Angeles Master Chorale, LA Opera and LA Phil. JOB SUMMARY The Program Senior Coordinator supports the planning, coordination, and implementation of The Music Center’s Spotlight program, a free performing arts scholarship and artistic development program for Southern California high school students. Reporting to the Spotlight Senior Director and working closely with the Program Manager, this position coordinates year-round programming, auditions, educational activities, outreach, special events, and the Grand Finale. The position serves as a key point of contact for students, families, educators, artists, community partners, vendors, and volunteers and helps ensure a welcoming, organized, and responsive experience for Spotlight participants. The role requires strong project coordination, organization, communication, technology, and interpersonal skills, along with the ability to manage multiple priorities in a fast-paced, collaborative environment. ESSENTIAL DUTIES AND RESPONSIBILITIES • Support the Senior Director and Program Manager in planning, coordinating, and implementing Spotlight’s year-round programming, including auditions, Mastery Classes, Spotlight Academy, outreach activities, special events, alumni engagement, and the Grand Finale., • Develop and maintain a thorough understanding of Spotlight programs, processes, deadlines, goals, and impact., • Serve as a consistent and welcoming point of contact for students, parents, teachers, and community partners throughout the Spotlight process., • Respond to program inquiries by email and phone, providing accurate and timely information and appropriately routing questions when necessary., • Support student communications and help ensure information is clear, consistent, timely, supportive, and aligned with the program’s values and voice., • Assist with the student feedback process, including editing feedback letters, compiling judges’ notes, and coordinating distribution of feedback to students and families., • Schedule and participate in outreach activities and serve as an ambassador for Spotlight with students, families, educators, arts organizations, and community partners., • Assist with planning, preparation, execution, and follow-up for onsite and offsite programs, auditions, classes, rehearsals, meetings, and events., • Attend planning meetings, auditions, classes, rehearsals, performances, and other program activities as required., • Coordinate logistics with internal departments and external partners, including venues, production, marketing, scheduling and events, guest services, security, engineering, housekeeping, catering, parking, and other vendors., • Coordinate meeting logistics, including scheduling, invitations, agendas, note-taking, summaries, follow-up, catering, parking, and tracking action items., • Maintain accurate project timelines, records, notes, communications, and next steps., • Manage multiple projects, deadlines, and priorities simultaneously while ensuring consistent follow-through., • Prepare, research, organize, and maintain program and project materials, including handouts, contracts, invoices, artist information, schedules, signage, participant communications, and related documentation., • Maintain accurate and current program records and documentation., • Assist with financial and administrative processes, including tracking, coding, submitting, and filing invoices; obtaining approvals; monitoring payments; and preparing basic independent contractor agreements, expense reports, and payment documentation., • Maintain calendars and coordinate meetings, auditions, classes, rehearsals, and events with internal staff and external partners., • Maintain department mailing lists, contact information, and program databases., • Utilize and maintain the Spotlight accepted database and other program management systems., • Support accurate data collection, tracking, reporting, and recordkeeping., • Collect program statistics and prepare information and documentation for grants, Advancement requests, periodic reporting, and end-of-year reports., • Utilize technology and digital platforms effectively to support program operations, communications, scheduling, data management, tracking, and reporting., • Build and maintain effective working relationships with Music Center staff, artists, educators, students, families, community partners, vendors, volunteers, and other stakeholders., • Work collaboratively with internal TMC departments and external program partners to support successful program delivery., • Demonstrate professionalism, flexibility, cultural sensitivity, and sound judgment when working with young people, families, artists, educators, colleagues, and community partners., • Perform other duties as assigned. REQUIRED SKILLS AND QUALIFICATIONS • Bachelor’s degree from a four-year college or university, or an equivalent combination of education and relevant professional experience., • Minimum 2 years of related professional experience in program coordination, arts administration, education, youth programming, event coordination, or a related field., • Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook., • Ability to work a flexible schedule, including evenings and weekends, as required by program activities and events., • Ability to lift and move up to 40 pounds unassisted and stand and walk for extended periods during auditions, programs, and events., • Reliable transportation for off-site programs, meetings, and events., • Knowledge of and experience with the Los Angeles arts and cultural community., • Experience with Acceptd, Monday.com, or similar application management, project management, or program administration platforms., • Experience working directly with teens and young adults, particularly in educational, artistic, or youth development settings., • Experience in performing arts, arts education, scholarship programs, youth development, or nonprofit programming., • Experience working with databases, application management systems, project management platforms, shared digital workspaces, and technology-based communications., • Experience supporting grants, advancement requests, program reporting, or other nonprofit administrative processes., • Experience coordinating auditions, classes, rehearsals, performances, workshops, or other arts-related programs and events. SALARY This full-time, non-exempt position offers a competitive hourly range of $27.00 –$35.00, along with a comprehensive total rewards package. SCHEDULE This position is scheduled for 35 hours per week, typically Monday through Friday from approximately 9:00 a.m. to 5:00 p.m. Work hours may be adjusted as necessary to accommodate special events and business needs, including occasional evenings and weekends. The Music Center currently operates under a hybrid work model, combining remote work with designated onsite team days. Onsite, in-person attendance is required to support live events.
