Position Objective The Project Coordinator supports the day-to-day administrative and operational functions of Crossroads Construction projects. This role coordinates material purchasing, project documentation, contract administration, billing support, and labor reporting activities that directly affect job cost accuracy, schedule reliability, and field productivity. The position serves as a central coordination point between project management, operations leadership, accounting, vendors, and field teams. Success in this role requires strong organization, attention to detail, and a practical understanding of construction workflows, cost codes, contracts, and how purchasing and administrative processes impact project performance and financial reporting. The Project Coordinator is responsible for maintaining accurate project records, supporting internal procedures, identifying discrepancies early, and helping to keep purchasing, accounting, and documentation workflows moving efficiently across multiple active projects. Essential Job Functions Purchasing, Procurement, & Vendor Coordination • Place, issue, and track material orders and purchase orders based on project needs, schedules, approved budgets, and internal requests., • Coordinate with vendors on pricing, quantities, availability, lead times, substitutions, delivery schedules, and order confirmations., • Monitor backorders, partial shipments, and delivery delays, and communicate potential impacts to project teams in a timely manner., • Maintain organized purchasing documentation, including quotes, purchase orders, confirmations, delivery tickets, and related correspondence., • Research and help resolve vendor issues, documentation gaps, and purchasing discrepancies as they arise., • On occasion, issue, track, and collect purchase agreements as needed. Project Accounting, Billing & Contract Administration • Enter initial project budgets, approved change orders, time-and-materials work, and project maintenance data into ComputerEase or other cost-control/accounting systems., • Maintain vendor profiles and supporting documentation in project management and accounting systems, including W-9 certificates and related records., • Enter, route, and review accounts payable invoices; match invoices to purchase orders, packing slips, and delivery tickets when applicable., • Identify discrepancies in pricing, quantities, coding, or documentation and coordinate resolution with vendors, project managers, and accounting., • Assist with coding invoices to the correct job, project phase, and cost category to support accurate job cost reporting., • Reconcile vendor statements and support weekly check runs and related payment processing activities., • Assist with billing preparation by gathering backup documentation, tracking invoices, supporting pay applications, and helping submit complete owner billing packages., • Coordinate contract files, vendor documentation, compliance records, subcontractor contracts, and lien-waiver-related paperwork as needed. Labor Reporting, Documentation & Operational Support • Assist with timely labor hour entry and ensure hours are coded to the correct cost codes prior to payroll processing., • Identify missing, incorrect, or miscoded time entries and coordinate with field supervisors and operations leadership to resolve discrepancies., • Maintain organized project documentation and administrative records so files remain complete, current, and audit ready., • Communicate order status, documentation updates, and administrative needs to internal teams as necessary to support project execution., • Provide scanning, filing, and other administrative support required for project success., • Perform additional miscellaneous tasks and assignments as needed to support operations and project teams. Qualifications and Requirements Basic Qualifications • Minimum 2 years of experience in construction project administration, purchasing, accounting support, or construction operations coordination., • Working knowledge of construction materials and subcontractor workflows related to drywall, metal framing, specialties, or similar trades., • Proficient in Microsoft Excel and document management systems., • ComputerEase experience preferred., • A valid drivers license is required. Knowledge, Skills, and Abilities • Understanding of construction cost codes, budgets, job cost tracking, billing support, and change-order processes., • Strong organizational skills with the ability to manage multiple priorities and maintain accurate records across several active projects., • Ability to review documentation for completeness, identify process gaps or discrepancies, and communicate clearly with vendors, project managers, accounting, and field teams., • Familiar with prevailing wage, certified payroll, and workforce reporting., • Demonstrates a strong initiative and can accomplish tasks with minimal manager supervision., • Utilizes a professional and engaging demeanor with coworkers, external partners, and clients., • Shows excellent communication skills, both in writing and face-to-face, including using a phone in an open office.
