Job DescriptionDescription: SUMMARY: The Contract & Budget Manager is responsible for the holistic, end-to-end management of contracts within the department, including preparation and oversight of high-quality customer, site and vendor contracts. Additionally, this position supports the pricing, planning, execution, and control of investigator grants. The Contract & Budget Manager also assists in the development of negotiation strategies, site rate cards, identifies areas of contract risk, and works with internal stakeholders to ensure proper understanding of the contract and associated budget(s). Further, the Contract & Budget Manager creatively supports business development teams to ensure timely and compliant contract execution. Additionally, this role mentors team members and contributes to process improvements and strategic initiatives to enhance contract management efficiency. ESSENTIAL DUTIES: • Draft, review and independently negotiate master governing agreements to memorialize new relationships, promptly escalating complex or nuanced risks to management or legal for input based in corporate guidance., • Inform management of suggested updates to templates, as needed, based on patterns noted during the negotiation process., • Possess a level of knowledge needed to understand and solve moderate to difficult contractual problems by proactively engaging the operational team, and other relevant internal stakeholders, to bring prompt resolution or further escalation as needed., • Manage moderate to complex projects and the associated issues and challenges., • Interpret and apply Elligo policies/procedures and practices, with minimal support, to ensure protection of Elligo’s contractual, financial, and legal risk posture., • Actively engaged in process improvement initiatives and be a proponent of change where such change will bring positive enhancements into the contract management function., • Perform in-depth analyses using various sources of information to support budget and contract negotiations., • Train and/or mentor new contracts team members., • Work cross-functionally with legal, operational, and business development teams to ensure timely and compliant contract execution in support of company’s financial goals., • Take ownership over and independently propose corrective actions necessary to reduce errors where noted in teamwork product., • Develop and review Clinical Trial Agreements (CTAs) utilizing standard templates and projected related information. Ensure CTAs are executed in a timely manner in order to meet expected timelines for study start-up., • Liaise with the legal departments, as necessary, to ensure any content changes to the CTAs are mutually agreeable., • Participate in Study kick-off meetings to obtain necessary information required for effective CTA execution, to the extent applicable., • Responsible for the development of complex investigator grant estimates and contracting strategies., • Develop and review other contracts (e.g. confidentiality agreements, Work Orders, Change Orders, etc.) as needed in support of the business., • Create, publish and/or review core clinical, technical and administrative documentation to support business development and enable study initiation and maintenance., • Develop and maintain strong working relationships and maintain effective communication with Elligo management, staff, customers and sites., • Works independently in the management of contract inventory, including contract development and negotiations., • Responsible for reporting contract and budget negotiation progress to internal and external project teams., • Ensures that contracts are executed and centrally stored in accordance with corporate guidelines, • Ensure contract and budget statuses remain updated on a regular basis to support project timelines and allow management insight into financials associated with the contracting process., • Proactively identify process improvements and identify areas where professional development in soft and hard skills may be necessary amongst the team., • Collaborates with internal stakeholders to ensure proper understanding of the contractual terms and associated budgets., • Lead customer/site meeting preparations and discussions., • Generate standard and ad-hoc reporting to summarize information and uncover insights., • Reconcile any discrepancies between documents and database(s)., • Support audits by providing accurate contract and budget documentation., • Maintain confidentiality of company information as appropriate, • Perform other duties as required or assigned. QUALIFICATIONS: • Advanced knowledge of contract principles and procedures., • Ability to comprehend, review, research complex contract documents, and provide guidance to junior analysts., • Excellent verbal and written communication skills, including the ability to effectively convey ideas and information clearly and concisely., • Good interpersonal skills with the ability to build and foster trust with internal and external stakeholders., • Ability to work professionally with internal and external stakeholders to effectively achieve business results., • Self-motivated and able to work independently to complete tasks, respond to department requests and collaborate with others to utilize their resources and knowledge to identify quality solutions., • Strong organizational/prioritization skills with the ability to manage multiple concurrent complex projects., • Ability to work effectively in a dynamic environment and be flexible to shifting priorities., • Strong negotiation skills with a collaborative, solutions-oriented approach., • Excellent contract drafting skills., • Highly detail oriented with advanced analytical and problem-solving skills., • Deep knowledge and understanding of clinical trial agreements, budgets, regulatory considerations, and compliance requirements s (ICH GCP, FDA, GDPR, etc.)., • Ability to interpret clinical trial protocols and translate them into budget requirements., • Advanced proficiency with Excel and basic proficiency in other Microsoft 365 applications (Outlook, Word, PowerPoint, and Teams)., • Intermediate proficiency with Salesforce and SharePoint. EDUCATION AND EXPERIENCE: • Bachelor’s degree or higher required, preferably in Accounting, Finance, or Business Administration preferred, or an equivalent combination of education and related work experience., • Seven (7) or more years of experience directly related to contract management in the clinical research industry, including preparing contracts and budgets for clinical trials, • Minimum three (3) years of experience developing grant budgets for clinical trials or at least five (5) years similar experience ENVIRONMENT: This is a remote position based on the location of the incumbent’s home. This role routinely uses standard office equipment such as computers, printers, copiers, and phones.
