Together, we address the city’s shared social concerns. Skills and Experience: The Office Manager/Executive Assistant should have experience in office management/administration. He/she/they should have the ability to manage multiple assignments under deadlines, take direction from supervisor and senior colleagues alike, take independent action/initiative when appropriate, and be comfortable working in a small office environment. The ideal candidate should have strong organizational and editing skills, a strong working knowledge of Microsoft Office (Word, Outlook, SharePoint, and Excel), familiarity with Salsa or similar CRM database solutions, familiarity with social media platforms and other online systems/platforms – design platforms like Adobe/Canva would be a plus, familiarity with managing and troubleshooting software and computer equipment and experience interacting with technology providers, experience assisting departments such as finance and HR, as well as experience with sending large mailings and dealing with vendors. Reliability, attention to detail, ability to work effectively under deadline pressure, and a deep respect for religious/cultural diversity are all a must. This position reports to the Director of Development. (i) Reception Duties including answering the phone, updating staff calendar, sending, retrieving, opening, routing, mail etc. (ii) Maintain vendor relationships, oversee office supply inventories, keep the office stocked, etc. (iii) Maintain insurance policies (e.g. Board) and stay up to date with NY State Laws (iv) Create outgoing payments/reimbursements, liaise with off-site accountant, manage annual audit (v) Update website (e.g. remove posted events) and compile events for a monthly newsletter (using Salsa HQ) (vi) Monitor social media channels, replying, posting, and reposting when appropriate (vii) Record and monitor incoming donations (in Salsa CRM), create and file acknowledgement letters (viii) Monitor and maintain the Executive Director’s calendar and tech-related needs, take minutes at staff meetings and send follow up reminders (ix) Reserve meeting rooms, organize catering, and oversee the printing of materials for meetings/events including board meetings 4x a year (x) Onboard interns and employees, arranging server/office access, health insurance enrollment, off-boarding etc.) (xi) Assist with 3,000 piece mailings 2x a year for an Annual Appeal and Annual Gala (xii) Take one-off projects on occasion (past examples include overseeing the website’s redesign with outside consultants, helping with a database update, and moving items out of a storage unit) Start Date: November 1st, 2024

Job Summary: The Operations Manager is an organized, conscientious individual who manages all aspects of the Playhouse including bookkeeping and administrative tasks, database management, facilities management, managing and recruiting volunteers, communications, assisting with events and fundraisers, interfacing with families and our community, and supporting all fundraising efforts. Major Responsibilities Include: - Handle incoming revenue and issue acknowledgement letters including entry into Salesforce. This includes monthly reporting of all donations and ensures a tight process and timely response to donors for acknowledgement letters. - Supports Treasurer by providing receipts/ invoices, petty cash, inventory, and refunds along with proving a monthly donation report. - Database management of Salesforce, including ongoing database entry to update the mailing list, new families, volunteer and board hours, donor gifts, and proposal information. Ensure the data is entered accurately, and in a timely manner as close to real time as possible. - Run Salesforce reports as requested – understanding how the data is to be used so delivery format is useful. - Aid in community fundraising and events led by Board of Directors while coordinating with the National Organization to create registration and donation platforms. Work closely with volunteers and Playhouse Communications/ Marketing teams to support promotion of events to ensure events are publicized in all social media channels. - Aid BOD and Outreach Committee in the cultivation of community partnerships (i.e. local banks and restaurants). - Manage and oversee volunteer recruitment including (but not limited to) on-boarding, orientations, scheduling, training, retention, background checks and recognition of volunteers within the playhouse. Maintain volunteer data and information. Seek support for surrounding university for internship opportunities within the playhouse. - Maintain current and past photo archive. Ensure every playhouse event is photographed, and crowd sourced for images from each event. - Comply with the procedures and policies of the National Office including participating in calls and providing reports as requested. Ensure accuracy, proofing and timely distribution. - Create online content and update the website and social media accounts on a frequent and timely basis as per the guidelines from the Communications committee. - Administrative support such as answering the phones, responding to Playhouse emails, greeting visitors, maintaining the appearance of the Playhouse, ordering supplies, managing inventory (including computers, printers, appliances and repairs) and office organization including cleaning of bathrooms each day and cleaning materials used after programs. - Source and post blog content at least twice a month. The Director of Finance directly supervises the Finance Assistant and the Accounting Manager. The Director of Finance will require working experience with Financial Edge. Responsibilities • Guide financial decisions by establishing, monitoring, and enforcing internal controls, and operational policies and procedures; make recommendations for increased efficiency and effectiveness. • Coordinate and direct daily and periodic accounting operations and processes, assuring that financial records and systems are maintained in accordance with Generally Accepted Accounting Principles. • Participate in the strategic planning process as an integral member of the senior leadership team through development and use of predictive models and activity-based financial analyses. • Perform cash flow analysis and planning to ensure availability of funds as needed for the operating entity. • Maximize return and limit risk on cash by managing bank balances, and overseeing investments managed by external investment manager in conjunction with Board Investment Committee. • Monitor and confirm financial condition by conducting internal audits. • Lead communication with external auditors to prepare annual audited financial statements and 990 returns. • Prepare accurate interim financial statements and special reports for both internal and external use, through collection, analysis, and consolidation of financial data. • Prepare annual operating budgets, capital budgets and periodic budget re-forecasts. • Achieve budget objectives by scheduling expenditures, analyzing variances, and initiating corrective actions. • Liaise with the Finance Committee and participate in Committee and Board meetings. • Ensure compliance with federal, state, and local requirements, through research and awareness of existing, new, or anticipated legislation, and consult with legal counsel to advise management on needed actions or potential impacts. Desired Skills and Experience • Candidates should hold a bachelor’s degree or above in accounting and/or business administration, or possess equivalent business experience, and have five-plus (5+) years’ experience with a major non-profit, operating on an annual budget of at least five million ($5M). • The ideal candidate will have skills in managing processes and analyzing information, developing standards and policies, non-profit accounting, and auditing experience.
