Job Description $52,000 - $62,400 annually depending on experience The Operations Assistant / Quality Inspector supports both production and operational teams by ensuring that products meet established quality standards while coordinating activities related to international registration, regulatory compliance, product development, and vendor management. This hybrid role bridges quality assurance and operations, ensuring efficient workflows, consistent product quality, and regulatory adherence. The position involves conducting inspections, testing samples, managing vendor relationships, and assisting in the research and development of new cosmetic and personal care products. General Duties and Responsibilities: Quality Assurance & Control • Read, understand, and follow written instructions and Standard Operating Procedures (SOPs)., • Apply quality-related SOP requirements to ensure proper execution of job tasks., • Perform Quality Control inspections of incoming components before release to production., • Inspect in-process products on the filling lines to confirm compliance with filling specifications., • Conduct final Quality Assurance inspections of finished products prior to release., • Review finished good master samples and product samples for accuracy and consistency., • Verify Master Batch Records for accuracy prior to product release., • Validate product specifications using approved testing equipment (e.g., pH meter, viscometer, weight scale)., • Verify packaging accuracy and inspect finished goods pallets for visible damage., • Accurately record inspection data and complete Master Batch Record entries in required spreadsheets., • Build and maintain strong relationships with new and existing vendors to support procurement and operational needs., • Negotiate pricing and terms with cosmetics and packaging suppliers to achieve cost efficiency and reliability., • Support new vendor procurement, including qualification, documentation, and onboarding processes., • Assist with international product registration and ensure compliance with regulatory standards., • Maintain documentation related to regulatory filings and product compliance., • Support research and development (R&D) of new products by coordinating with cosmetics laboratories to request, track, and evaluate samples., • Maintain organized and up-to-date records for inspections, testing, and vendor communications., • Prepare reports and assist in data analysis to identify trends and recommend process improvements., • Coordinate with cross-functional teams to ensure smooth operational and production workflows., • Minimum 1 year of experience in manufacturing, operations, or quality (cosmetics or personal care industry preferred)., • Familiarity with quality assurance and regulatory compliance standards., • Experience with supplier or vendor management preferred., • Eligible for employment in the United States., • Strong communication and interpersonal skills; able to interact effectively at all levels., • Proficient in Microsoft Office (Word, Excel, Outlook)., • Strong analytical thinking, problem-solving, and attention to detail., • Excellent organizational and time management skills., • Ability to multitask and prioritize in a fast-paced environment., • Knowledge of precision tools such as pH meters, viscometers, and weight scales (preferred)., • Skilled in compiling, analyzing, and presenting operational and quality data., • Negotiation and vendor relationship management skills.
