Job Summary: As the Team Assistant, you play a crucial role in maintaining smooth daily operations of facilities management of our client's reception and office space in London, Canary Wharf (HQ) and administrative support to the senior leadership team. The successful candidate will need to be organised, proactive and able to prioritise and match the pace of engaged and driven colleagues. Your role scope will be broad, varied and interesting, with the opportunity to develop further. You will be the first point of contact for clients and colleagues, so you will play an important role in actively contributing to the company culture. Please note this opportunity requires a valid right to work in the UK and is paying up to £35,000 per annum as a base salary excluding benefits. Must be prepared to be office-based 5 days per week. Key Responsibilities: Reception/Facilities (70-80% of the role): • Ensure the smooth day-to-day running of our client’s office in Canary Wharf (and Mayfair as required), • Take ownership and design ways to improve office environment continuously, • Maintain a great relationship with both ours and our clients’ vendors and suppliers, • Maintain and order office equipment, stationery and kitchen supplies when required, • Responsible for the Health and Safety induction for new joiners on behalf of our client, • Maintain office databases, archive records and implement systems, • Welcome clients and guests visiting the office, answer incoming calls and take messages, • Ensure that all clients are pre-registered and issue permanent passes to employees, • Take stock, raise PO orders, and organise catering and refreshments when required, • Prepare and maintain meeting rooms, oversee the room booking system and overall meeting room set-up and servicing throughout the day, • Manage and deliver excellent levels of customer service and help meet and exceed expectations and requirements of our existing clients and prospects., • Collect and distribute incoming and ongoing post and arrange courier and taxi bookings, • Ensure cleanliness and functionality of the office, meeting rooms, and kitchen, • Ensure the kitchen is tidy and fully stocked throughout the day, • Arrange social and CSR events on behalf of our client for the wider Bank in conjunction with the Executive Support colleagues, • Execute other administrative functions such as setting up infrastructure for new joiners, maintaining relevant internal records, and filing key records, • Ensure that monthly Health and Safety checks are completed, • Visit the client’s Mayfair office weekly and ensure that the office is running smoothly; take stock and place orders, • Trained First Aider and Fire Warden. Team Administrator (20-30% of the role): • Proactively manage diaries for assigned Senior Leaders and their teams as determined by the Head of Executive Support; ensuring a balanced and efficient scheduling of meetings whilst using initiative to identify, anticipate, and resolve any diary conflicts, • Arrange and coordinate meetings, calls and seminars with internal and external parties, ensuring preparation is undertaken and provided, • Arrange travel, including visa applications, flights, hotel bookings and expense reimbursement, • Manage, log, and track invoices and coordinate internally and with third parties, • Complete accurate data entry into internal management information systems and be responsible for accurate collation of information to senior management, • Maintain a logical, accurate, up-to-date electronic filing system, • Organise team meetings, coordinating any data documentation for discussion and provide general team support, • Prepare, collate, and format documents and distribute these, • Create PowerPoint presentations when required, • Arrange for documents to be signed physically and electronically, • Provide basic project management administrative support for our client on initiatives or projects as required, • Ensure all memberships/visas/accounts/CPD logs are up to date/in date/renewed, • Maintain compliance with organisational policies and practices, and attendance/completion of mandatory training, • Assist with our clients’ photoshoots for the senior staff members, • Work closely with the rest of the client Executive Support team to make sure all Execs and Senior Leaders are supported as required, • Always act in good faith towards customers, avoid causing foreseeable harm, and enable and support the Bank’s clients /customers to pursue their financial objectives. As related to your role, you should monitor, assess, understand and evidence how you are acting to deliver good outcomes to clients and customers as per the FCA’s Consumer Duty regulations., • Uphold the client’s company values at all times. Qualifications & Experience The successful candidate will have … Skills: • Excellent verbal and written communication skills, • Excellent administration, organisational and prioritisation skills, • Ability to multi-task effectively and to work on own initiative, • Effective team player with well-developed interpersonal skills, • Able to manage confidential information and handle sensitive topics with discretion, • Confidence in dealing with people of all levels both internally and externally, • Organised and detail-oriented, • Proficiency in Microsoft Office products, • Previous experience as an office administrator or/and personal/team assistant with Banking/Finance or Professional Services essential, • Can do attitude and active corporate citizen, always upholding the Bank’s PROUD value Working Hours: Monday – Friday 8:00am – 5pm and 9:00am – 6:00pm (2 shifts on a rotating basis) Must be prepared to be office-based 5 days per week Requires working from the Mayfair office on ad hoc basis when needed (for example can be split during any one day up to 2-3hrs on a fortnightly basis) Please note this opportunity requires a valid right to work in the UK and is paying up to £35,000 per annum as a base salary excluding benefits.
