Executive Assistant & Operations Coordinator Location: Exeter/Hybrid Salary: £35,000 - £45,000 DOE About the Company Our client is a growing professional services consultancy operating within a specialist advisory sector. Working with private clients, businesses, institutions and professional advisers, they provide strategic advice and consultancy services across a diverse portfolio of projects. Having recently strengthened their leadership team and embarked on an ambitious growth strategy, the business is now seeking an Executive Assistant & Operations Coordinator to become a trusted and integral part of the organisation. The Role This is a highly visible and trusted position supporting the leadership team across a broad range of executive, operational and administrative activities. You'll work directly alongside senior decision-makers, helping to keep priorities organised, projects moving and business operations running smoothly. This is not a traditional PA role; it's an opportunity for someone who enjoys taking ownership, improving processes and becoming a key part of a growing business. Part Executive Assistant, part Operations Coordinator and part problem-solver, you'll play a critical role in creating the structure and organisation that enables the business to scale successfully. What You'll Be Doing You will be responsible for overseeing and coordinating a wide range of business support activities, including: • Managing complex diaries, schedules and travel arrangements, • Coordinating meetings, logistics and business activities, • Monitoring actions, deadlines and follow-ups, • Supporting bookkeeping, invoicing and financial administration, • Liaising with external accountants, suppliers and professional advisers, • Managing document preparation, filing and record keeping, • Supporting client onboarding and compliance processes, • Creating and maintaining Standard Operating Procedures (SOPs), • Identifying inefficiencies and improving operational processes, • Supporting day-to-day business operations and project coordination, • Ensuring important tasks and commitments do not fall through the cracks What We're Looking For We're looking for someone who is exceptionally organised, proactive and comfortable operating in a fast-paced professional environment. You will enjoy bringing order to complexity, solving problems before they become issues and supporting senior leaders who rely on you to keep things moving. The successful candidate will be naturally resourceful, highly dependable and able to operate with minimal supervision while maintaining excellent attention to detail. Essential Skills & Experience • Previous experience as an Executive Assistant, Senior PA, Operations Coordinator or similar role, • Experience supporting senior leaders within a professional services environment, • Strong organisational and diary management skills, • Book keeping, finance administration or accounts experience, • Excellent written and verbal communication skills, • Strong technology aptitude and confidence learning new systems, • Ability to manage multiple priorities and competing deadlines, • High levels of professionalism, integrity and discretion, • Experience handling confidential information appropriately Desirable Skills & Experience • Familiarity with Xero, FreeAgent or similar accounting software, • Exposure to a growing SME or entrepreneurial business environment, • Process improvement and workflow optimisation experience, • Experience creating and maintaining SOPs and operational documentation, • Proven ability to coordinate multiple stakeholders and competing priorities Why You'll Love This Role This is an opportunity to join a business at an exciting stage of growth and become a trusted extension of the leadership team.
