You will report to the current practice manager or whoever is the practice manager at the time of your employment for the items below: Your duties and responsibilities will be: ● Greeting visitors to the facility warmly and offering them help immediately ● Providing customer support ● Representing the business with a positive attitude and professional appearance ● Taking and directing calls and messages ● Completing administrative tasks like filing and delivering and accepting mail ● Cleaning, organising and maintaining the reception and waiting area ● Checking rooms to ensure they are left in line with the practice regulations after each clinician ● Keeping basic office supplies like pens stocked and accessible to visitors ● Signing in visitors and monitoring their adherence to room use times ● Assisting the triage clinician, in conjunction with the practice manager, in the triaging process via telephone and email ● Tracking referrals ● Answering questions about products and services offered by the practice ● Booking rooms for clinicians ● Interacting with other departments, such as Information Technology (IT), when someone needs more technical assistance ● Maintaining front door security and reporting any suspicious activity ● Processing sales and/or assisting clients with payments and raising invoices on the system ● Engaging in public relations or marketing to a minor degree ● Ensuring the coffee area, kitchen and fridges are fully stocked ● Informing practice manager of order which need to be made (stock control) ● Assisting with basic social media and marketing when required
