The American Society of Transplantation (AST) is a non-profit medical association dedicated to advancing the field of organ transplantation and improving patient outcomes. We are seeking a Meetings Coordinator to provide critical logistical and administrative support for the AST’s meetings and events. This position is ideal for someone who enjoys working behind the scenes to keep things running smoothly—managing speaker materials, supporting registration and housing processes, assisting with signage and logistics, and helping to ensure exceptional attendee experiences. The Meetings Coordinator will report to the Director of Meetings and collaborate closely with the Meetings Manager and broader AST team to deliver high-quality events that support our mission. The ideal candidate is detail-oriented, highly organized, and eager to contribute to a fast-paced, mission-driven environment. This role is not responsible for content or strategy but serves as a critical logistical and administrative partner to the Meetings Manager and Director of Meetings. CORE DUTIES AND RESPONSIBILITIES Marketing & Promotions • Provide logistical and content support for the AST’s meeting marketing efforts, under the direction of the Director of Marketing and Communications, • Track and coordinate review of meeting-related emails, social posts, and web content, • Maintain meeting-related webpages and microsites, ensuring content is current and consistent, • Prepare speaker invitation and disclosure tracking templates; update status and deliverables in real time, • Collect bios, headshots, disclosures, and presentation materials; ensure files are saved and organized accurately, • Maintain internal speaker and session trackers for each assigned meeting, • Draft logistics reminders (e.g., travel forms, deadlines) for review by Meetings Manager or Director, • Coordinate speaker reimbursement documentation with accounting, • Monitor deadlines and flag missing materials to appropriate lead, • Coordinate packing, shipping, and inventory tracking for onsite materials, • Assist with signage planning and production deliverables, • Support creation and formatting of logistics documents (e.g., BEOs, hotel rooming lists, signage schedules), • Assist with registration data tracking and housing coordination, • Coordinate scheduling of internal and external planning calls; manage calendar invites, • Take and distribute notes from key logistics or planning meetings, • Monitor and maintain the meetings team inbox, • Assist with meeting budget tracking and reconciliation processes in collaboration with the Director of Meetings, • Coordinate speaker and staff reimbursements, ensuring timely submission of forms and documentation, • Pull the monthly credit card statement, route to cardholders for coding, and compile the final report for submission to AST’s accounting firm, • Onsite responsibilities will be assigned based on the size, scope, and staffing needs of each meeting; typical duties may include registration desk support, signage setup, or speaker check-in AST CONFORMANCE STATEMENT In the performance of their respective tasks and duties all employees are expected to demonstrate the AST Core Values: Quality Service, Respect, Accountability, Transparency, Flexibility, Expertise/Innovation and Social Responsibility. QUALIFICATIONS Education & Experience • Associate’s degree required; bachelor’s degree preferred, • 1–3 years of relevant experience in event coordination, marketing support, or nonprofit/association administration, • Strong organizational skills and attention to detail, • Clear and professional written and verbal communication, • Ability to manage multiple projects in a deadline-driven environment, • Familiarity with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and online platforms (e.g., Cadmium, SurveyMonkey, or similar tools) AST is committed to creating a diverse environment and is proud to be an equal opportunity employer.
