Warranty Administrator II - BMW of Chula Vista Non-Exempt Job Summary: The Warranty Administrator II is responsible for managing the warranty process for products or services offered by the company. This role involves overseeing the entire warranty lifecycle, from initial claim submission to final resolution, ensuring compliance with manufacturer guidelines and company policies. The Warranty Administrator works closely with customers, service departments, and suppliers to facilitate efficient and accurate warranty processing. Essential Functions: • Review and process warranty claims submitted by customers, verifying eligibility based on company policies and product warranties., • Ensure all necessary documentation (e.g., proof of purchase, photos, and defect details) is provided and meet the required standards., • Enter warranty claim information into the warranty management system and ensure accurate data entry for tracking and reporting., • Liaise with suppliers, manufacturers, and service providers to process warranty claims and initiate product replacements or repairs., • Maintain positive relationships with external partners and vendors to ensure smooth claim resolutions and adherence to warranty terms., • Track and manage product returns and repairs, ensuring that warranty claims are handled efficiently, and products are returned or replaced in a timely manner., • Maintain up-to-date records of all warranty claims, customer interactions, and resolutions in the warranty management system., • Ensure that warranty-related documentation is complete, accurate, and in compliance with company policies., • Prepare and generate reports on warranty claims, trends, and claims history for management analysis., • Work with the inventory team to verify defective products returned under warranty and process them for replacement or repair., • Assist with inspecting returned products to verify the root cause of defects or failures and assess whether the product qualifies for a warranty claim., • Identify and track recurring product issues or warranty trends and report findings to management., • Work with internal departments to investigate product failures, defects, and trends to recommend preventive measures and product improvements., • Provide regular reports to management regarding warranty claims, costs, and any potential improvements to warranty procedures., • Ensure compliance with warranty policies, industry standards, and legal requirements, keeping up with any changes in laws or warranty regulations., • Handle administrative tasks related to warranty claims, including filing, correspondence, and updating warranty policy documents., • Support the warranty department in handling high volumes of claims during peak times, ensuring that all claims are processed in a timely manner., • Maintain satisfactory attendance. Minimum Qualifications: • Two years of experience in warranty administration or a related field, with a proven track record of managing and processing warranty claims effectively., • Ability to lift up to 15 pounds., • Experience with warranty claims processing, product returns, or working with manufacturers/suppliers is highly desirable., • Strong attention to detail and high level of accuracy in data entry and documentation., • Excellent communication skills, both written and verbal., • Ability to handle multiple tasks, prioritize work effectively, and meet deadlines., • Strong organizational and problem-solving skills., • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)., • Frequently stands, walks, sits; uses hands; frequently reaches with hands and arms; frequently talks and hears., • Occasionally climbs or balances; occasionally stoops, kneels, crouches, squats or crawls; occasionally lifts up to 15 pounds., • Office setting, typically within the warranty department., • Climate controlled., • Noise level is quiet to moderate.
