Job Description JVA Art Group is seeking a highly organized, creative, and detail-oriented Project Manager to manage custom artwork projects from initial client inquiry through final delivery. For more than 50 years, JVA Art Group has created custom artwork for commercial interiors, working with interior designers, purchasing firms, ownership groups, brands, and other industry partners across hospitality, healthcare, multifamily, corporate, and government environments. JVA is the source, not an art broker. Our team develops custom artwork specifically for each project and manages the process from concept and design through production and delivery. Our core capabilities include custom canvas, framed artwork and photography, and wallcovering, with additional capabilities across acrylic, metal, wood, fabric, acoustical applications, and specialty projects. The Project Manager serves as the primary client contact and central coordinator throughout the project lifecycle, working closely with JVA's artists, production team, operations, accounting, vendors, and clients to keep projects organized, accurate, on budget, and moving forward. What You'll Do Manage Projects from Start to Finish Manage multiple custom artwork projects simultaneously from initial intake through completion. Review incoming opportunities and define project scope, budget, timeline, design requirements, purchasing information, and deliverables. Gather and organize floor plans, elevations, specifications, artwork schedules, inspiration imagery, brand standards, and other project information. Maintain accurate project records, timelines, tasks, approvals, and client communication. Identify missing information and proactively resolve questions before they create delays. Coordinate project priorities and deadlines with JVA's internal creative and production teams. Manage Client Communication Serve as the primary day-to-day contact for assigned clients and projects. Lead project discovery and review conversations when needed. Communicate clearly regarding design direction, pricing, revisions, approvals, production requirements, lead times, and delivery. Maintain consistent follow-up throughout the project. Set realistic expectations and communicate potential issues or delays early. Translate client feedback into clear, actionable direction for JVA's artists and production team. Coordinate Artwork Development Work closely with JVA's in-house artists to develop artwork presentations based on the client's design direction, property, brand, and project requirements. Research imagery, artwork styles, and creative approaches appropriate for each project. Review artwork presentations for accuracy, quality, composition, and consistency before client presentation. Coordinate client revisions and provide clear direction to the creative team. Create or coordinate artwork placement plans, art maps, matrices, and presentation materials when required. Ensure final artwork and specifications accurately reflect approved client selections. Develop Quotes and Manage Budgets Develop detailed project specifications for quoting. Submit quote requests to Production and coordinate pricing requirements. Review pricing and complete required margin analysis before presenting quotes to clients. Prepare and issue client proposals and revisions. Discuss pricing proactively with clients and identify appropriate value-engineering solutions when a project exceeds budget. Confirm final pricing, quantities, specifications, and scope when purchase orders are received. Document changes that affect pricing or project scope. Coordinate Purchase Orders, Approvals, and Production Review incoming purchase orders for accuracy against approved quotes and specifications. Coordinate deposits, invoices, credit-card authorization forms, and other required documentation with Accounting. Prepare and coordinate digital proofs, samples, strike-offs, and other approval materials. Maintain clear documentation of client approvals before releasing artwork or specifications for production. Prepare and organize approved files for production. Complete a thorough project handoff to JVA's Production team and remain involved as the client-facing project lead through completion. Support Production and Delivery Coordinate with Production regarding schedules, lead times, project changes, shipping requirements, and potential issues. Keep clients informed of project status throughout production. Coordinate logistics with clients, purchasers, general contractors, installers, and other project contacts as required. Communicate shipping documentation and final project information to clients. Follow projects through delivery and installation, helping resolve issues when necessary. Complete project closeout documentation and maintain organized project files. What We're Looking For The right person for this position combines project management discipline with a strong visual and design sensibility. JVA projects are highly customized, so this role requires someone who can manage details and deadlines while understanding the creative intent behind the work. Qualifications: Experience in project management, interior design, commercial art, hospitality design, architectural products, purchasing, graphics, or a related field. Strong organizational skills with the ability to manage multiple active projects and competing deadlines. Strong visual judgment and an understanding of design, scale, proportion, color, and composition. Excellent written and verbal client communication skills. Ability to read and interpret floor plans, elevations, specifications, and artwork schedules. Strong attention to detail, particularly with dimensions, quantities, specifications, pricing, and approvals. Comfortable discussing budgets and pricing with clients. Ability to translate client feedback into clear direction for creative and production teams. Ability to anticipate problems, identify missing information, and proactively move projects forward. Comfortable working in a collaborative environment where creative, production, financial, and scheduling considerations frequently overlap. Software & Technical Skills Experience with some or all of the following is preferred: Adobe Creative Suite, particularly Photoshop and Acrobat Google Workspace Smartsheet Trello or comparable project management platforms Harvest or comparable time-tracking/project management software Microsoft Office Zoom and Slack Experience preparing client presentations, specifications, artwork schedules, or production documentation The Person Who Will Succeed at JVA This position is best suited for someone who is: Highly organized: You can manage a large amount of project information without losing track of details. Proactive: You identify what is missing and take action rather than waiting for problems to surface. Creative: You understand design and can contribute intelligently to conversations about artwork and visual direction. Detail-oriented: You recognize that a missed dimension, quantity, approval, or specification can have significant consequences once a custom piece enters production. Client-focused: You communicate professionally and make complex custom projects easier for the client to navigate. Comfortable with accountability: You take ownership of assigned projects and follow them through completion. Adaptable: Every JVA project is different. You can move between straightforward framed-art packages, custom artwork development, wallcovering, and more complex project requirements without losing organization. Collaborative: You understand that successful projects require coordination between the client, artist, production team, operations, accounting, and outside partners.
