Job DescriptionThe New York Philharmonic connects with millions of music lovers each season through live concerts in New York and around the world, as well as broadcasts, recordings, and education programs. After returning to a transformed David Geffen Hall in 2022, the Orchestra is acting on a renewed commitment to building on a legacy of more than 180 years, serving as a platform for today’s greatest musical artists and connecting with our communities. Gustavo Dudamel will become the Philharmonic’s Oscar L. Tang and H.M. Agnes Hsu-Tang Music and Artistic Director in the 2026–27 season. The New York Philharmonic seeks a Special Events Associate, who will join the collaborative and dynamic Special Events team and play a supportive role in their efforts to achieve the Orchestra’s mission through various fundraising events during the concert season. The Associate will participate in the planning and execution of five pillar events (Opening Gala, Young New Yorkers Winter Fête, Lunar New Year Gala, Fun at the Phil family benefit, and Spring Gala) and other cultivation events. This team member will provide important administrative, logistical, and clerical/general assistance to their Special Events colleagues. Responsibilities: • Track fundraising progress for all pillar events: process monetary donations; draft invoices and record gifts and pledges; and prepare acknowledgement letters and financial reports in a timely manner., • Assist with numerous cultivation events throughout the concert season by managing lists, drafting event collateral (i.e. invitations, programs, place cards, etc.), tracking responses and following up with donors as needed, liaising with vendors and NY Phil colleagues, and developing event timelines and production schedules., • Support the Director, Associate Director, and the Manager with the strategic seating process for all events by managing guest lists in the seating database (Social Tables) and with the maintenance of the department’s financial donor database, leadership mailing lists, and the execution of all event solicitations (i.e. physical mailings and e-mail blasts)., • Train and monitor volunteers and other event participants and provide other onsite registration support., • Participate in Patron Lounge duty during the concert season to facilitate guest tracking and ensure a positive guest experience., • Perform general administrative duties for the Special Events team, including updating budgets, submitting vendor invoices for payment, and managing the Special Events calendar and supplies inventory., • A commitment to contributing to an inclusive working environment is required., • Miscellaneous duties as assigned. Essential Job Functions: * Work hand-in-hand with the Community School Director in daily program operations and functions. * Work with school leadership to maintain a focus on results and track progress. * Ensure that New York Edge is capturing and analyzing data while functioning in a data driven manner. * Responsible for overall supervision of community school staff. * Assist in the educational and social development of students. * Ensures that they are trained in the methodology employed during the school day in regards to instruction. * Encourage and lead projects that foster academic, social, physical and artistic growth. * Provide support for individual students inside and outside of the classroom to enable them to fully participate in activities. * Responsible for recruitment and supervision of dedicated staff that meet the highest standards of qualifications in carrying out the mission of Community Schools and New York Edge * In conjunction with the Community School Director and school leadership team, assesses student progress and communicates such to teachers and school administrators. * Works with subject teachers to provide student support in various curriculum areas. * Must attend Professional Developments offered by New York Edge and Department of Education. * Identify high need students, coordinate with teachers to target interventions, and track and monitor impact of interventions. * Build relationships and mechanisms to effectively link the school day to expanded learning opportunities. * Communicate the program's challenges, progress and success with the Community School Director, will perform projects assigned at the discretion of the Community School Director. * Support students with emotional or behavior concerns and assist them in developing appropriate social skills. * Coordinate the allocation of space for student and family support services, and for special events. * He/she fosters an atmosphere of fun and learning and serves as a role model to youth, always conducting him/herself in the utmost professional manner and maintaining appropriate boundaries. * Promotes positive character development in all youth. * Participate in school governance, community school team meetings, and specialized meetings such as attendance meetings. Required Skills: * Passion for New York Edge mission and youth development * Reliable, organized and punctual * Knowledge of effective sports, arts, and academic programming * Expert understanding of New York City and New York State education requirements in an urban setting ∙ Strong leader and team-builder * Ability to resolve conflicts and negotiate solutions * Ability to establish and maintain effective working relationships with program staff and school partners * Excellent communication (oral and written) and interpersonal skills with proven ability to interact with a diverse range of individuals both in person and over the phone, applying tact and discretion as situations demand * Must have excellent organizational, time management and follow-up skills * Must be able to clearly articulate outcome requirements and provide the necessary and appropriate resources and support for Activity Specialists and Academic Enrichment Coaches to successfully deliver on objectives * Responsible and professional conduct that serves as role model to staff and youth * Exhibits strong character traits and exercises patience and creativity while seeking win-win scenarios * Ability to set priorities and meet deadlines * Must demonstrate ability to manage multiple priorities simultaneously * Proficiency in Microsoft Excel, Outlook, Google Docs, and Word Qualifications: * High School Diploma or equivalent required. Some college credits in Education, Psychology, or Social Work are highly preferred. * 2-3 years of experience working in a youth development or educational setting. * Must have passion for New York Edge mission and demonstrated interest in the field of education and youth development. * Prior experience working with school-aged youth * Prior work experience in urban education environment preferred WORK ENVIRONMENT AND PHYSICAL DEMANDS * May be required to walk up and down stairs * May be required to lift heavy objects/materials as needed * Work is performed mostly within a New York City Public School, but may be required to interact with the community at large during trips or events.
