Job Description Position Summary: The Receptionist serves as the first point of contact for patients, caregivers, and visitors in a geriatric psychiatry practice. This role requires a compassionate, patient-centered approach while managing front-desk operations, scheduling, and administrative support in a confidential healthcare setting. Key Responsibilities: • Review provider schedules to ensure accuracy and confirm required patient documentation, including photo ID, insurance cards, and any applicable practice forms, • Greet patients, family members, and caregivers warmly and professionally, • Answer incoming phone calls, route messages, and respond to inquiries with sensitivity and discretion, • Schedule, confirm, and reschedule appointments, • Verify patient demographics, • Check patients in and out while ensuring accurate documentation in the electronic medical record (EMR), • Collect co-payments and provide receipts as needed, • Maintain patient confidentiality in compliance with HIPAA regulations, • Communicate effectively with clinical staff regarding patient flow and urgent needs, • Maintain an organized, calm, and welcoming front-office environment, • Handle incoming and outgoing mail, deliveries, faxes, and general office correspondence, • Support administrative tasks such as scanning documents, filing, and data entry Qualifications & Skills: • High school diploma or equivalent (required), • Previous experience in a medical office or behavioral health setting preferred, • Experience working with elderly patients and/or individuals with cognitive impairments strongly preferred, • Excellent interpersonal and communication skills, • Strong organizational skills and attention to detail, • Ability to remain calm, empathetic, and professional in sensitive situations, • Familiarity with EMR systems, scheduling software, and basic office equipment, • Accurate typing and data entry skills for patient records, scheduling, and correspondence., • Proficiency in Google Workspace applications, including Gmail, Google Calendar, Google Docs, and Google Sheets., • Knowledge of medical terminology and insurance verification is a plus Physical & Emotional Requirements: • Ability to sit or stand for extended periods, • Ability to communicate clearly with patients who may have hearing, vision, or cognitive challenges, • Emotional maturity and compassion when interacting with vulnerable populations Work Environment: Medical office setting specializing in geriatric psychiatric care, serving elderly patients and their caregivers in a supportive, respectful environment.
