Job Description • Communication: Answering and triaging phone calls, taking messages, and communicating with clients, vendors, and stakeholders., • File Management: Organizing and maintaining files, both physical and electronic, ensuring easy access and retrieval of documents., • Scheduling: Scheduling appointments for Sr. Executives, such as meetings, and travel arrangements for clients., • Data Entry: Entering data accurately into databases and spreadsheets., • Office Support: Handling incoming and outgoing mail, ordering office supplies and housekeeping supplies, and assisting with photocopying and mass emails to clients and families., • Basic Bookkeeping: May assist with tasks like invoicing and tracking expenses for programs and specific departments., • Reporting: Preparing data reports and presentations for Sr. Executive, sometimes with assistance from other team members as noted by Senior Executives., • Customer Service: Providing a positive and professional experience for visitors and clients. Education: Associate Degree in Business Administration, Human Services or related field. * Experience: Must have senior level and or C-Suite 1 level experience and be have experience working in a high paced environment. * Skills: Strong communication, organizational, and interpersonal skills are essential. Must be an excellent note taker and be able to type 55-70 WPM. * Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software is often required. * Additional Skills: Familiarity with office equipment (copiers, printers, etc.) and basic bookkeeping skills is essential. * strong organizational skills, computer literacy and the ability to multi-task. * Experience with payroll and accounting is a plus.
