Job Description Position Summary: To be successful as an Executive Assistant, you should have the ability to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture. The ideal candidate is a highly self-motivated professional who can manage their workload, flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. Essential Duties and Responsibilities: • Anticipate the needs of the C-suite leader for scheduled events, presentations, discussions, and recurring processes; research, prepare, socialize, and review materials as appropriate for the event or meeting, • Ability to effectively navigate complexity and ambiguity, • Strong people skills, and a high level of discretion in handling confidential information, • Professionalism in dealing with senior leaders, persuasive written and verbal communication skills, and strong attention to detail, • The ability to analyze and summarize data for executive consumption, multitask effectively, and use sound judgment to execute complex tasks with minimal guidance is required, • Experience developing executive-level presentations and facilitating leadership meetings, • Help the C-suite leader stay on track with tasks and when necessary, assist with prioritization of tasks, • Maintain an organized filing system of paper and electronic documents, • Manage the organization’s action list as tracked by upper level executives, • Assist other company administrative staff with special projects related to Board meetings, shareholder events, staff meetings, and other office functions, • Provide administrative support to the leadership team, to include drafts of correspondence, reports, and meeting materials; travel arrangements and preparation of expense reports; extensive scheduling and calendar management; research projects; screen and return phone calls; make copies; scan materials; and other tasks as requested, • Recruiting and hiring staff support, • Bachelor's degree or higher, • 5+ year prior experience within Aerospace & Defense industry a plus, • 5+ years of experience collaborating with C-suite leaders, • 5+ years of experience writing communications for C-suite leaders, • 5+ years of experience organizing, facilitating, and executing large meetings or events with executive and senior customer stakeholders, • 5+ years of progressive executive assistant experience directly supporting C-suite leaders, • Must be able to manage multiple competing demands and high-volume projects and deadlines with no decrease in productivity in an often fast-paced work environment, • Strong computer skills with a high proficiency with the Microsoft Office Suite, Microsoft SharePoint, and Adobe products; willingness to learn new programs and software, • Excellent interpersonal skills: must be a self-starter and be able to work independently and interact effectively with internal and external stakeholders, • Excellent oral and written communications skills, • High ethical standards and the ability to maintain confidential information, • Excellent organization and multi-tasking skills, detail oriented, and show care and concern for final work product, • Must have manual dexterity to operate computer keyboard and standard office equipmentCompany DescriptionWorking with government and private industry, RMCI is on the cutting edge of vehicle health monitoring technologies and systems.
