Job Title: Campus Security & Operations Manager Status: Regular, Full-Time Work Year: 12 Months Classification: Exempt Reports To: Director of Facilities and Security Position Summary The Campus Operations & Safety Manager is a hands-on, exempt leadership role responsible for overseeing campus safety, security operations, transportation coordination, access control, fleet management, and operational compliance. This position ensures a safe, secure, and well-functioning campus environment for students, faculty, staff, and visitors while maintaining compliance with applicable safety, labor, and regulatory requirements. This role requires flexibility in scheduling, availability to respond to emergencies, and participation in mandatory events. The Campus Operations & Safety Manager may be required to adjust hours, work evenings or weekends, and remain on-call as needed to support campus operations and safety needs. Essential Duties and Responsibilities Managerial & Supervisory Responsibilities • Manage and supervise campus safety officers and contracted security personnel., • Serve as the lead security manager at all major school events, on and off campus, including but not limited to Winter Formal, Prom, Homecoming, Gala, and other high-profile gatherings, ensuring proper coverage, professionalism, and safety protocols., • Develop and manage daily staff schedules, including coverage for callouts, holidays, special events, and emergency situations., • Approve time-off requests, attendance, and scheduling entries in Paycom., • Monitor meal period compliance and adherence to applicable labor requirements., • Review overtime usage and ensure appropriate justification and documentation., • Maintain accurate operational records, logs, and workbooks for the Campus Security Department., • Issue safety and emergency-related bulletins and communications to faculty and staff., • Address and manage community concerns or complaints related to campus operations and safety., • Lead by example, maintaining a calm, organized, professional presence as a trusted representative of the school. Campus Safety & Security Operations • Conduct daily campus patrols to maintain high situational awareness and proactively address safety concerns., • Respond to calls for service, emergencies, and incidents; ensure incident reports are completed accurately and in a timely manner., • Investigate crimes, safety concerns, and suspicious activities occurring on campus., • Monitor and manage campus security camera systems., • Ensure readiness and response protocols for campus safety and security communication systems., • Identify safety risks and recommend procedural or operational improvements., • Maintain inventories of security reports, maps, visitor logs, and related materials., • Participate in required safety and emergency response training, including First Aid, CPR, AED, and fire prevention., • Be present at morning and afternoon drop-off as part of the leadership team overseeing compliance with carpool limitations set by the CUP with the City of La Cañada Flintridge. Access Control & Key Management • Administer access permissions using Pro Data Key (PDK) and other access control systems., • Manage physical key inventory, assignments, and tracking., • Issue employee key rings and ID badges and maintain accurate access records., • Lock and unlock designated administrative or secured access points as required. Transportation, Traffic & Parking Management • Serve as liaison between the Academy and contracted transportation providers., • Coordinate school bus drivers and transportation partners., • Ensure timely communication regarding route disruptions or delays, including SafeStop alerts., • Manage parking assignments and enforcement for faculty, staff, and students., • Review daily parking violation reports and coordinate enforcement communications., • Maintain the Motor Vehicle Release and reservation logs., • Verify driver authorization through Motor Vehicle Records (MVR) prior to approving vehicle use., • Organize or coordinate van and driver training as required., • Support annual driver appreciation and bonus distribution in coordination with administration. Fleet & Vehicle Management • Oversee vehicle reservations and campus fleet usage., • Maintain fleet repair, inspection, and preventative maintenance records., • Coordinate routine inspections and ensure documentation is current and accurate. Fire, Emergency & Crisis Preparedness • Assist with the development, implementation, and maintenance of the Academy’s Emergency Disaster Plan., • Manage and maintain the Crisis Communications Plan., • Coordinate fire prevention efforts, evacuation planning, and emergency response training., • Organize and document monthly fire extinguisher inspections., • Maintain emergency supply inventories, including food, water, and emergency backpacks., • Lead the campus Emergency Preparedness Team, coordinating representatives from high school staff and other departments to maintain emergency supplies, plan and execute drills, develop protocols, and oversee After Action Meetings and Reports., • Coordinate campus safety tours and inspections with local fire and emergency agencies. Occupational Safety & Regulatory Compliance • Manage and maintain OSHA-related compliance programs, including:, • Injury & Illness Prevention Plan (IIPP), • Workplace Violence Prevention Program (WVPP), • Safety Data Sheets (SDS), • Respond to, investigate, and document workplace injuries., • Notify Human Resources of reportable incidents for OSHA 300 log purposes., • Conduct Confidential post-injury investigations., • Partner with Human Resources on Workers’ Compensation matters. Summer Programs & Special Operations • Support planning and operations for summer programs and camps., • Coordinate space usage, access, scheduling, and administrative setup for summer activities., • Collaborate with Summer Program leadership to ensure safe and efficient operations. Team Leadership & Collaboration • Security Manager must lead a team and work collaboratively; will not work alone. Coverage is shared with the Director of Facilities and Security and the Facilities and Grounds Supervisor., • Must demonstrate flexibility in schedule due to school needs, including call-offs, events, and emergencies., • Serve as a team player while maintaining professionalism, calm, and organization under all circumstances. Other Duties • Perform additional duties as assigned in support of campus operations and safety. Education & Experience • Bachelor’s Degree required., • Minimum of five (5) years of experience in security, safety, law enforcement, or related field., • Minimum of three (3) years of supervisory or management experience., • California Guard Card preferred., • CERT qualification or equivalent emergency response training required., • American Red Cross First Aid and CPR certification required; EMT certification preferred. Skills, Knowledge & Abilities • Proficiency in Microsoft Word and Excel., • Strong leadership and team management skills., • Ability to maintain confidentiality of sensitive student, employee, and institutional information., • Excellent written communication and incident report writing skills., • Strong problem-solving, analytical, and decision-making abilities., • Ability to remain calm and effective during emergencies or crisis situations., • Strong organizational, administrative, and recordkeeping skills., • Effective verbal communication and public speaking abilities. Physical & Environmental Requirements • Ability to walk extended distances, including hills and stairs., • Ability to stand for prolonged periods and conduct outdoor patrols in varying weather conditions., • Ability to lift up to 50 pounds, including bending and twisting motions., • Ability to sit at a computer workstation for extended periods., • Ability to maintain professional composure in high-stress or adversarial situations., • Ability to physically intervene or self-defend if required in emergency situations.
