Please take a moment to watch our video to learn more about our culture and contributions to our members: youtu.be/hYNdMGLn19A Job Summary: Under the supervision of the Manager, Payroll, we are seeking an experienced Payroll Coordinator to support the accurate, timely, and compliant processing of payroll for a diverse workforce, including union and non-union employees across exempt and non-exempt classifications. This role operates within a fund and ERISA-regulated environment and partners closely with Human Resources, Finance, and Benefits teams. The ideal candidate has hands-on experience with ADP, exposure to Workday and/or Oracle HCM, along with a strong understanding of payroll compliance and process improvement. Essential Duties and Responsibilities: • Key Responsibilities:, • Process payroll for exempt and non-exempt employees in union and non-union environments, ensuring compliance with collective bargaining agreements, company policies, and applicable laws., • Administer complex payroll elements, including overtime, retroactive pay, shift differentials, union dues, benefit deductions, and garnishments., • Maintain accurate payroll data for new hires, terminations, pay changes, and bonuses., • Respond to payroll-related inquiries from employees and stakeholders with a high level of professionalism and customer service., • Reconcile payroll registers, benefit deductions, and general ledger postings; research and resolve discrepancies., • Ensure compliance with federal, state, and local payroll regulations, including State and New York City tax requirements., • Support payroll audits, year-end processing, and W-2 preparation., • Maintain payroll records, reports, and related documentation for compliance and audit purposes., • Ensures timesheets from all departments are approved timely, and resolves any errors prior to payroll processing., • Perform additional relevant responsibilities as assigned by management., • Benefits & ERISA Exposure, • Support payroll deductions and contributions related to ERISA-governed benefit plans, including 401(k) retirement plans., • Process and reconcile pre-tax benefits such as Flexible Spending Accounts (FSA), commuter benefits, and other salary-based deductions., • Assist with payroll reporting and data support for ERISA compliance and regulatory filings., • Systems & Process Improvement, • Utilize payroll systems; support integrations with HRIS and financial systems., • Participate in payroll system implementations, upgrades, testing, and process enhancements., • Assist in documenting payroll procedures and identifying opportunities to improve efficiency and controls. Qualifications (Competencies): • 3+ years of payroll experience, preferably in a unionized, fund-based, or ERISA-heavy environment., • Experience processing payroll for both exempt and non-exempt employees., • Hands-on experience with ADP, Workday HCM and/or Oracle HCM experience preferred., • Working knowledge of payroll tax regulations, wage and hour laws, and benefits-related payroll processes., • Proficiency in Microsoft Excel and other Microsoft Office applications., • Strong analytical, problem-solving, and communication skills. Education: Bachelor’s degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.
