What You Will Do The Executive Assistant will play a central role in supporting the internal infrastructure that enables NELPs mission-driven teams to thrive. You will provide high-level administrative support to the leadership teamprimarily the Chief Financial Officer and Vice President of Development. You will report to the VP of Development and collaborate closely with executive and senior leadership, the Executive Assistant team, and other stakeholders. Key responsibilities include: Strategic Administrative Support and Coordination • Manage complex scheduling across the leadership team with high awareness of shifting priorities, preparation time, and strong follow-through., • Support meeting logistics; develop and prepare materials, briefings, and agendas to support effective decision-making and strong follow-through., • Track high-priority internal deliverables and support cross-team coordination and follow-through and recurring systems updates., • Support coordination for events, including funder, programmatic, and other NELP-hosted events., • Maintain systems to protect sensitive information and uphold confidentiality., • Support HR processes, including scheduling interviews, coordinating onboarding logistics, and managing confidential materials., • Partner with the IT team on equipment tracking, user access, and documentation., • Support data entry and clean up, creating internal process guides, and special projects. New York Office Operations • Serve as the main point of contact for the New York office and manage daily operations., • Liaise with vendors and building management to ensure a well-functioning, stocked, and welcoming office., • Coordinate in-person logistics for team gatherings, onboarding, and staff retreats., • Monitor and support health and safety compliance and coordination. Organization-Wide Collaboration • Identify and suggest improvements to internal processes and communication flows that increase efficiency and clarity across teams., • Collaborate with other Executive Assistants and leadership to strengthen internal coordination. Who You Are • You have 3+ years of experience in an executive assistant, project coordination, or administrative operations roleideally supporting multiple leaders or teams, including development or fundraising functions., • You manage complex calendars, competing priorities, and shifting needs with ease and calm., • You are highly organized and detail-oriented, managing multiple streams of work without letting details slip. You anticipate needs, meet deadlines, and help others stay on track., • You see how workflows, timelines, and tools connectand you enjoy figuring out how to make them better. You are comfortable using and learning technology systems (Box, Zoom, Airtable, Salesforce, Microsoft Office 365, etc.) and supporting others., • You have experience supporting events logistics and coordination., • You are a strong communicator and relationship-builder. You handle sensitive information with discretion, and contribute to a culture of collaboration, clarity, and respect. You operate with high emotional intelligence and professional judgment., • You are energized by working across teams, supporting others, and helping build a strong internal culture., • You are flexible, responsive to feedback, and focus on continuous improvement and innovation., • You are self-aware, curious, and respectful with strong interpersonal skills fostering a sense of purpose and community and have high standards for holding yourself and others accountable., • You operate with a commitment to excellence, integrity, diplomacy, and camaraderie., • Candidates must be eligible and authorized to work in the United States. Start Date, Location, Compensation & Benefits: This is a full-time exempt position based in NELPs New York City office. The role is hybrid with regular in-person presence required at least two days each week to support New York office operations and internal coordination. To perform the roles responsibilities, additional in-person days will be required at times. This role will require some travel for NELP meetings and events. Compensation at NELP includes an excellent comprehensive benefits package, including full coverage of family health insurance, a medical reimbursement plan, generous vacation and sick leave, plus additional organization-wide holidays, significant contribution from the employer to a retirement plan (both an unelected contribution and employer match); and for qualifying participants, up to 26 weeks paid parental leave, 12 weeks paid medical leave, 6 weeks of paid family medical caregiving leave, childcare/eldercare reimbursement assistance, and student loan repayment assistance. Staff at NELP are represented by Local 2320, UAW, excluding management and certain other categories. This role is a non-bargaining unit position.
