Job Description About the Role Works effectively with other professionals in the field Maintains knowledge of issues affecting the UC Support and participate in the group interaction process Work extended hours as needed Maintain regular and cordial communication with the ORR Medical team Attend and complete all related training courses. Performs other duties as assigned May involve training new staff, supervise administrative teams, and ensure compliance with office procedures Maintaining high volume of calls and e-mails. Answer phones, manage correspondence, and provide general administrative support to healthcare staff. Serve as a liaison between patients, doctors, nurses, and other medical facilities. Maintain accurate, confidential, and up-to-date medical records in the UAC portal Ensure the office and staff adhere to healthcare regulations, policies, and standards What You’ll Do Ensure that all medical related papers are filed and in securing all medical appointments. Responsible for scheduling, tracking, and coordinating all in-house and off campus medical services for all youth in the program. Responsible for collecting and tracking MARS, referrals, ER visits labs and any other medical follow-up Ensure timely documentation in the ORR portal of all Medical and Health related areas: Initial Medical Form, vaccines, laboratory tests, X-Rays, etc. Track compliance of medical services to ensure children have medical and dental follow up visits as needed and as specified in the ORR policies and procedures. Process all medical procedures through ORR for prior approval Ensuring effective medical care, proper documentation, and reporting of all administration of medication to person served. Maintaining all urgent care visits are tracked in share point. Collection of medication receipts to provide to appropriate internal parties for payment processes. Handle billing, insurance claims, and payment processing. Request Treatment Authorization Requests (TAR) as needed Ensuring medication lists are up to date and sent to all appropriate parties internally. Ensuring all appropriate internal parties have the most updated allergy and cottage and TFC distribution lists. Join and participate in all required meetings Ensuring all appropriate internal parties have the most updated allergy and cottage and TFC distribution lists. Your Qualifications Minimum of 1 year of employment in public health or a healthcare setting with demonstrated experience in care coordination, health administration, or direct clinical care. Licensed practical or vocational nurse (LPN/LVN) or higher health-related qualification (e.g., licensed registered nurse (RN) with a bachelor’s degree). Bachelor’s Degree in a relevant field. Knowledge of child welfare and immigration related legislation Excellent Communication and interpersonal skills. Strong organizational and time management abilities Proficiency in Microsoft Office is a must High attention to detail and ability to work in a fast-paced environment Bilingual (English/Spanish) is a must Ensure the office and staff adhere to healthcare regulations, policies and standards Excellent communication and interpersonal skills Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities required of the employee for this job. Days and hours of work will depend on the need of the program in one of our POH location sites assigned, such as 4433 3rd Avenue Bronx, NY, Harlem location 317 Lenox Avenue New York, NY and 151 Lawrence Street Brooklyn, NY. This will include working also, a day at the weekend. Work hours will be assigned according to the program needs. Examples of work shifts and days can be either Tuesday-Sat. or Sunday-Thursday. 8am-4pm, 9am-5pm, 10am- 6pm, 11am-7pm, 12pm-9pm and 2pm-10pm. Additional Requirements: Authorized to work in the U.S. Ability to work in-person in New York City (NY) for at least 3 days or more per week.
