Job Description Visiting Angels of Stamford, CT is now hiring a Scheduler to join our growing client care team! Position Purpose: The Client Care Coordinator is responsible for the day to day operational oversight of our office telephones and scheduling system, including but not limited to answering the phones, scheduling of caregivers to shifts, caregiver retention, maintaining compliance, coaching and counseling care staff, this includes all administrative tasks affiliated with above. Work Location: In Office Shift: 8:30am-5pm Monday-Friday, rotating on-call phone for evenings and weekends Benefits: • Salary 65K-75K/year, based upon work history and experience, • 401K plan, commissions structure, end of year discretionary bonus, • Optional Health Benefits, • Growth options within the company, as we like to promote from within.Reports To: Director of Human Resources Training and Growth: The Client Care Coordinator will under go a training program to become familiar with our scheduling system, WellSky, as well as proper phone etiquette per our business model. Our Director of Human Resources will spearhead the training program, current schedulers will also assist in training. We also have a video course to watch to assist with learning our scheduling system. Principal Accountabilities and Essential Functions: • Answer the telephone and greet the public., • Schedule caregivers for service on new care recipients and fill open shifts on existing cases., • On-call evening and weekend phone rotations, as directed, at least one week out of every five weeks. (Note that on-call is additionally reimbursed at $1,000/week, over the base rate of pay.), • Counsel Caregivers and assist in managing cases., • Provide clear communication to clients, families, and caregivers consistent with delivering a high level of quality care, • Utilize WellSky electronic record system to document interactions with caregivers, client phone calls, client visits and all family interactions., • Review client’s schedule on a daily basis. Counsel staff regarding tardiness and correct use of time clock system. Make the appropriate corrections to the system to facilitate accurate payroll processing., • Recognize and reward good job performance and promote caregiver recognition., • Independently respond to and resolve client complaints and concerns. Escalate to management, as needed., • Practice good time management, problem solving, follow instructions and complete work assignments., • Demonstrate self-motivation, self-direction, organizational skills, flexibility and the ability to coordinate multiple tasks simultaneously., • Ability to communicate effectively with co-workers, leadership team, clients and family, ability to listen without imposing personal values or beliefs., • Engage in constructive problem solving and the exploration of new ideas., • Build and maintain strong relationships with clients, client’s family members and caregivers through frequent communication and addressing concerns promptly., • Strictly comply with all laws, rules and regulations., • Work independently and proactively with minimal direction and/or supervision., • Provide timely and effective feedback to the management., • Maintain regular and predictable attendance., • Present a well-groomed image that reflects the professionalism of the business., • Plan, organize, prioritize, delegate and accurately complete work activities within deadlines while managing interruptions., • Demonstrate a strong commitment to client service excellence., • Ensure consistency in caregiver scheduling for contunity of care for clients., • Maintain professional and confidential relationships with clients, referral sources and employees., • Respond to and resolve any client or caregiver complaints or concerns., • Communicate and reinforce Visiting Angels’ policies and procedures., • Introduce new and replacement caregivers to clients, if and when necessary., • Assist in making Intake Folders for Intake Team., • Have the ability to remain flexible, resilient and calm, maintain a sense of humor and present a well-groomed professional image., • Pick up, introduce and drop off caregivers to clients’ homes if and when necessary., • Fill in for caregiver assignments, only in rare cases and if necessary, until a replacement is assigned., • Perform other functions as deemed appropriate by management.Other Duties: Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this position. Qualifications, Required Job Knowledge and Skills:, • Prefer Associate’s or Bachelor’s Degree in healthcare with a minimum of two years of experience in the healthcare or homecare industry or Five years work experience in home health/homecare industry providing direct care or in a scheduling position., • Proficiency with Microsoft Office (Word, Excel and Outlook) applications, scheduling systems and other healthcare industry-related software., • Ability to remain flexible, resilient, calm and maintain a sense of humor in all situations., • Ability to listen and communicate clearly, fluently, diplomatically – both orally and in writing., • Valid licensed driver with reliable transportation., • Valid state required proof of insurance.
