Job Description JOB SUMMARY:Mailroom Operations Specialist is responsible for operating high-speed, high-volume mail and shipping equipment in an automated mailroom environment. Oversees mail processing, fulfillment, shipping and receiving, tracking systems, and quality control to ensure accurate, timely, and secure distribution of mail and packages. Provides customer service support, recommends workflow improvements, and maintains compliance with mailroom security and operational standards. KEY RESPONSIBILITIES: • Operate high-level mail equipment including inserters, sorters, finishing equipment, postage meters, envelope printers, scales, and mail management systems., • Perform packaging, posting, and fulfillment activities in a high-speed, high-volume environment., • Execute production mail labeling and mail merge processes., • Provide mailing address cleanup services using mail cleansing software., • Coordinate automated and manual finishing and mailing processes., • Implement and maintain distribution and tracking systems., • Update and maintain mailing addresses using customized software., • Conduct barcode address quality review and validation of internal mail addresses., • Receive, sort, process, and distribute mail, packages, and supplies., • Deliver and pick up mail on scheduled routes., • Track, trace, and resolve mail issues with postal and courier services., • Prepare shipments and coordinate external deliveries and pickups., • Perform quality checks on outbound mail and packages., • Complete shipping documentation manually or electronically., • Perform document finishing tasks such as folding and inserting., • Manage electronic mail distribution, scanning, and routing., • Assemble, package, ship, and track fulfillment materials., • Follow mailroom security procedures and maintain tracking logs., • Monitor and replenish mailroom and shipping supplies., • Maintain, clean, and troubleshoot mail and shipping equipment; contact service providers as needed., • Recommend workflow improvements to optimize efficiency and reduce costs., • Train and mentor mailroom associates when required.REQUIRED QUALIFICATIONS:, • High School Diploma or equivalent., • 1–2 years of experience operating mail equipment and knowledge of mail procedures., • Ability to lift and move up to 50 pounds., • Ability to read, write, and follow English instructions., • Intermediate PC and internet skills, including mail merges and online form completion., • Intermediate knowledge of Microsoft Word and Excel., • Working knowledge of Microsoft PowerPoint and Adobe Acrobat., • Basic knowledge of network printers and digital front-end systems., • Ability to operate shipping systems such as postage meters and courier platforms., • Strong customer service and communication skills., • Ability to manage multiple tasks with minimal supervision., • Data entry proficiency., • Ability to estimate and schedule mailing jobs including staffing and time requirements.PREFERRED QUALIFICATIONS:, • Experience with production mail software., • Experience training or mentoring team members.CERTIFICATIONS:Education verification required.
