Best Christian Workplace Certified 2026 Position Title: Operations Administrative Assistant Department: Parish and Community Services Position Location: (In-Office and Hybrid) Reports to: Operations and Administration Manager Position Summary: The Operations Administrative Assistant supports the day-to-day administrative, operational, and logistical needs of the Parish & Community Services team, with a primary focus on marketing operations, material fulfillment, database support, reporting analysis, and internal coordination. This role ensures the efficient execution of PCS initiatives, including the production of marketing materials, inventory management, event support, and communication workflows, contributing to the department's overall effectiveness and growth. Educational or Certification Requirements: · Bachelor’s Degree or commensurate experience. Experience Requirements: · Excellent interpersonal skills with the ability to manage multiple priorities in a fast-paced environment. · Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); ability to learn database systems (e.g., HubSpot or Salesforce). · Experience compiling, analyzing, and interpreting operational or marketing data to support reporting, planning, and process improvement. · Minimum 2 years of administrative experience supporting operations, marketing, or business functions. · Experience in nonprofit, development, or ministry settings is a plus. · Reliable transportation and the ability to travel between local offices are needed. Knowledge, Skills, & Character Required: · Possess understanding and knowledge of the Catholic Church and hierarchy. · Strong writing, editing, proofreading, and verbal communication skills (Spanish a plus). · Highly organized, detail-oriented, and proactive; able to work independently with minimal supervision. · Ability to manage multiple tasks, prioritize effectively, and meet deadlines. · Strong interpersonal skills with a service-oriented mindset; able to work well across teams. · Comfortable creating presentations, newsletters, and professional communications. · Positive attitude, flexibility, and willingness to take on additional responsibilities as needed. · Ability to create and maintain reports, dashboards, and tracking tools to support departmental goals and operational effectiveness. · Strong analytical and problem-solving skills with the ability to interpret data, identify trends, and provide actionable insights. · Is a consistent witness for Jesus Christ; maintains a courteous, Christ-like attitude in dealing with people within and outside of the ministry. · Feels a calling to serve God through serving Cross Catholic Outreach in this capacity. · Believes in and supports the mission and ministry of Cross Catholic Outreach and agrees with the conduct policies and conduct expectations of Cross Catholic Outreach. Duties: • Provide comprehensive administrative and operational support to the PCS team, including data management and analysis, reporting support, record keeping, meeting support, and special projects as assigned., • Compile, track, and analyze operational, marketing, and engagement data to support reporting, planning, and continuous improvement initiatives within the PCS department., • Manage the production, inventory, and distribution of marketing materials, including coordinating reprints, maintaining storage organization, and fulfilling shipping requests., • Create and update PCS materials such as PowerPoint presentations, marketing collateral, and food packing event resources (flyers, posters, remit forms, and post-event communications)., • Support PCS programs and initiatives, including Box of Joy, by coordinating logistics, materials, and event-related needs; serve as a brand ambassador at off-site events when needed., • Maintain and ensure accuracy of database systems, including managing mailing and email lists, performing quality control, monitoring engagement data, and assisting with reporting and analysis related to PCS campaigns and initiatives., • Coordinate internal logistics, including office and mailing supply orders, support for remote staff, and distribution of PCS voicemails as needed., • Oversee incoming and outgoing mail, shipping, and packet preparation while maintaining organized storage and supply areas., • Support organization tribute requests, scheduling needs, tracking/reporting spreadsheets, and additional requests from PCS leadership., • This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required. OR This position requires the ability to perform physically demanding work. Essential functions include frequent standing, walking, bending, stooping, kneeling, and reaching. The employee must be able to regularly lift, carry, push, and pull materials weighing up to 50 pounds, with or without reasonable accommodation. AND This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means.
