Job Description Job Overview The Pediatric Administrative Assistant - Bilingual (English/Spanish) plays a vital role in maintaining daily clinic operations and patient satisfaction. While most scheduling, phone calls, and documentation tasks are handled by our virtual assistants, this position provides mandatory in-person front desk coverage, supports back-office administrative functions, assists with clinical coverage as needed, and contributes to business development and community outreach efforts. Phlebotomy skills are a strong plus. Front Office & Administrative Duties • Provide mandatory on-site front desk coverage during clinic hours, • Greet patients and families warmly; manage check-in/check-out processes, • Verify insurance and update patient demographics in the EHR, • Collect copayments and perform end-of-day reconciliation, • Coordinate with virtual assistants for scheduling, phone calls, and records management, • Handle in-office faxes, mail, and paperwork requiring physical processing, • Assist with referrals, authorizations, and care plans, • Track pending referrals and ensure timely follow-up communication with families, • Support providers with clinical documentation or patient forms as needed, • Provide limited backup coverage for the Medical Assistant, including:, • Rooming patients, recording vitals, assisting during exams, • Collecting specimens or performing blood draws (if trained), • Ensuring exam room cleanliness and readiness, • Assist with patient engagement initiatives (e.g., surveys, recall lists, feedback tracking), • Support the Management in community outreach, school partnerships, and local events, • Help design or distribute marketing materials, flyers, and digital content under guidance, • Identify opportunities for local collaborations (e.g., daycare centers, schools, parenting groups), • Maintain and update patient growth and referral tracking logs, • Maintain overall cleanliness, organization, and a kid-friendly atmosphere in waiting and clinical areas, • Associate’s degree preferred, • 1–2 years of experience in a medical or pediatric office is mandatory, • Familiarity with EHR systems, • Phlebotomy certification or experience strongly preferred, • Excellent communication, organizational, and multitasking skills, • Outgoing personality with comfort in community-facing and marketing-related tasks, • Dependable, professional, and team-oriented, • Compassionate and comfortable working with children and families Experience: • Medical Receptionist: 2 years (Preferred), • Medical Assistant: 1 year (Preferred), • Phlebotomy: 1 year (Preferred) Language: • Spanish (Preferred), • English (Preferred)Company DescriptionWe are a small, family-oriented pediatric outpatient clinic dedicated to delivering compassionate, high-quality care to children and families.
