HVAC Dispatch / Client Services Coordinator Compensation: Up to $75,000 annually (commensurate with experience) Location: Farmingdale, NY We’re seeking a highly organized and customer-focused HVAC Dispatch / Client Services Coordinator to join a fast-paced HVAC company based in Farmingdale, NY. In this role, you’ll be responsible for coordinating technician dispatch, managing customer communications, and supporting billing and collections. What You’ll Do • Coordinate and dispatch HVAC technicians based on priority, location, and skill set, • Schedule service calls, maintenance visits, and emergency requests, • Monitor technician schedules and make real-time adjustments as needed, • Serve as the primary communication link between technicians and customers, • Answer incoming calls and emails professionally and efficiently, • Provide appointment confirmations, service updates, and follow-ups, • Address customer questions, concerns, and service issues promptly, • Assist with invoicing and ensure billing accuracy, • Follow up on outstanding balances and manage collections professionally, • Communicate with customers regarding past-due accounts and payment arrangements, • Maintain accurate service records, customer data, and dispatch logs, • Update dispatch software, CRM systems, and internal tracking tools, • Prior experience in HVAC, construction, mechanical, or service-based dispatch preferred, • Strong customer service and communication skills, • Experience with collections or accounts receivable is a plus, • Excellent organizational, multitasking, and time-management abilities, • Proficiency with dispatch software, CRM systems, and Microsoft Office, • Competitive compensation up to $75,000 annually, • Stable, full-time position with consistent hours, • Opportunity to grow within a well-established HVAC operation, • Fast hiring process — company is looking to hire ASAP, • Supportive team environment with hands-on training
