JOB SUMMARY The Student Success & Clinical Support Coordinator is a dual-function role responsible for both the seamless coordination of clinical training placements and the holistic support of students enrolled in the CNA Program. This position bridges enrollment preparation, compliance assistance with hands-on support to students and other school-related services, ensuring learners and are guided, supported, and successful throughout their journey. This role also provides direct administrative, logistical, and instructional support to the LVN Instructor for the CNA Training Program. KEY RESPONSIBILITIES Student Success Functions • Serve as the first point of contact for potential student inquiries and active enrollees, including handling phone, sms inquiries, answering emails and texts, following up with potential students, and nurturing leads to assist with the enrollment process., • Coordinate student onboarding, orientation, and enrollment support., • Assist with tracking academic progress, attendance, and completion milestones., • Assist and manage student records, documentation, and compliance files., • Assist and collaborate with instructors to flag at-risk students and provide proactive support., • Help organize events and engagements during graduation and certification processing., • Coordinate all aspects of clinical site scheduling, assignments, including attendance, rotations, and logistics (state record keeping), • Serve as the primary liaison with clinical facility partners, student agreements, onboarding documentation, and relationships., • Assist in tracking student clinical attendance, performance evaluations, and ensure timely completion of required hours., • Ensure all students meet clinical requirements and submit necessary paperwork (e.g., health screenings, background checks, immunizations)., • Provide logistical and administrative support to clinical instructors and the LVN Instructor., • Identify and resolve issues related to clinical placements., • Assist the supervisor and / LVN Instructor in preparing and distributing instructional materials for classroom, clinical, and virtual sessions., • Assist the supervisor / LVN Instructor in maintaining accurate records of student attendance, grades, and evaluations., • Help coordinate and set up practical skills training, including demonstrations of body mechanics, safe lifting techniques, and use of assistive devices., • Aid in organizing and documenting student assessments, exams, and clinical evaluations., • Assist with tracking student compliance for clinical requirements and certifications., • Provide administrative support for curriculum development, professional development activities, and regulatory documentation., • Serve as a liaison between the LVN Instructor, students, and program leadership to address student needs and program improvements., • Support the LVN Instructor in maintaining open communication with students regarding academic progress, professional development, and program expectations., • Other duties assigned QUALIFICATIONS • Minimum 2 years’ experience in healthcare administration, clinical education support, academic/student services, or related roles., • Strong coordination, organizational, and documentation skills with meticulous attention to detail., • Familiarity with regulatory requirements for CNA programs (e.g., California Department of Public Health, Board of Vocational Nursing and Psychiatric Technicians) is a plus., • Proficiency in Google Workspace applications (Docs, Sheets, Drive) and/or student record management systems., • Demonstrated ability to be detail-oriented, collaborative, and dependable in a fast-paced environment., • Excellent verbal and written communication skills for effective interaction with diverse groups. Typical work hours will be Monday to Friday from 9:00 AM to 5:30 PM. * Occasional weekend availability is required * The company may adjust the schedule for this position based on changing needs and priorities of the CNA Program. CONFIDENTIALITY & ACESS * This role involves access to sensitive student records and clinical documentation, which may be shared with the facility, clinical sites, and leadership as needed to support student success and ensure program compliance. WORKING CONDITIONS The work environment typically includes office settings and frequent communication with healthcare facilities. Occasional travel to clinical sites may be required. The position primarily involves sedentary work, with occasional walking and light lifting (up to 50 lbs) when handling student documentation or supplies. The Coordinator has access to all student clinical placement records, compliance documentation, and performance evaluations, which may be discussed with program leadership, instructors, and clinical partners for placement and oversight.
