Job Summary General Summary of Duties: The ECW Training & Support Specialist delivers comprehensive ECW training through instructor-led, virtual, and on-the-job methods while creating and updating all related training materials. The role provides hands-on support, workshops, refresher sessions, and peer-learning opportunities, and assists with key ECW system functions such as access management, patient portal support, call routing setup, ticket reconciliation, and reporting. Reports To: Operations and EMR Director Department: Operations Business Unit: Sacred Circle Operations Patient Care: No Worker Status: Full-time, Hourly Benefits Eligible: Yes Hours Per Week: 40 Work Schedule: To Be Determined with the availability of 8:00 am – 6:00 pm Monday through Friday. Evening and weekend work may be required depending on position requirements. Schedule Type: 8 Hour shifts, Monday through Friday Supervisory Responsibilities: None Major Responsibilities/Tasks: • Implements the ECW training program for all new employees, selecting appropriate instructional methods such as instructor-led training (ILT), one-on-one coaching, small group facilitation, classroom instruction, and virtual instructor-led training (VILT)., • Leads the delivery of training through webinars, eLearning modules, and recorded video tutorials, ensuring alignment with organizational standards and learning objectives and provides trainer/trainee feedback to creators., • Maintains comprehensive training curricula, lesson plans, and supplemental materials—including how-to guides, quick reference sheets, FAQs, infographics, and troubleshooting resources—to support system-wide learning consistency., • Provides expert-level guidance and consultation through side-by-side support, live demonstrations, and simulation-based training to drive workflow optimization and system adoption., • Plans, organizes, and facilitates workshops, refresher courses, office hours, and AMA-style (Ask-Me-Anything) sessions to reinforce competencies and address emerging training needs., • Champions collaborative learning initiatives by designing and supporting peer-learning structures such as group projects, mentorships, and peer-to-peer training programs., • Implements and evaluates mobile learning and microlearning strategies (e.g., app-based or bite-sized modules) to support flexible, on-the-job skill development., • Integrates advanced interactive learning tools such as quizzes, gamification, and scenario-based practice to ensure high engagement and measurable learning outcomes., • Advises on ECW system access and functionality, including role privileging, access audits, account management, security assignments, and user support in collaboration with IT and compliance teams., • Provides technical support for patient portal tickets and other patient facing troubleshooting assistance,, • Advises on call routing rules and phone system configurations, coordinating with operational teams and centralized scheduling stakeholders as needed., • Supports EMR operational integrity by collaborating with the EMR team on ticket reconciliation, workflow validation, and reporting functions as a designated backup., • Continuously evaluates and updates training content, curricula, and methodologies based on system enhancements, organizational priorities, and user feedback., • Maintains comprehensive knowledge of EMR-related workflows by proactively shadowing and partnering with clinical and administrative teams to ensure training reflects real-world operational needs., • Models and promotes the organization’s Mission, Vision, and Values in all training and support activities. EDUCATION: Associate degree in education, healthcare, information technology, or a related field or any combination of education and experience totaling 3 years. EXPERIENCE: One or more (1+) years of experience in a training role. At least one (1) year of hands-on experience using eClinicalWorks (ECW) or equivalent electronic medical records system. One or more (1+) years of experience in healthcare or data analytics setting, with advanced system settings and configuration in a medical office environment. Preferred Requirements: EXPERIENCE: Experience as a classroom trainer, peer-to-peer experience Experience working in a call center environment and with centralized scheduling operations. Other: Experience working with the Native American community. KNOWLEDGE, SKILLS, & ABILITIES: • Proficiency with electronic medical record (EMR) systems, computer applications, point-of-sale systems, and basic technical troubleshooting., • Efficient knowledge of office equipment and technology including computers, telephones, fax machines, copiers, and related systems., • Strong ability to organize, prioritize, and manage multiple tasks simultaneously with minimal supervision., • Ability to comprehend, interpret, and follow written and verbal instructions, guidelines, and procedures., • Strong communication, interpersonal, and presentation skills with the ability to communicate clearly and effectively across diverse audiences., • Demonstrated skill in developing and maintaining effective working relationships with patients, medical staff, and the public., • Ability to create clear, user-friendly training materials such as guides, slides, tutorials, and job aids., • Comfortable using virtual meeting platforms, eLearning tools, and other digital training technologies., • Understanding of clinical and administrative workflows within a healthcare setting, with the ability to adapt training to various learning styles and skill levels., • Strong organizational, time management, and follow-through skills, with the ability to gather feedback, identify training needs, and adjust content accordingly., • Ability to react calmly, professionally, and effectively in emergency or high-pressure situations., • Ability to maintain confidentiality and handle sensitive patient and employee information in accordance with HIPAA and organizational standards., • Ability to travel between clinic sites as needed., • Commitment to upholding and modeling the organization’s Mission, Vision, and Values.
