Job Description The Fleet and Safety and Compliance Administrator is responsible for ensuring that the company’s operations comply with all federal, state, and local regulations, as well as internal safety policies. This role supports both the safety and fleet departments by maintaining accurate records, monitoring compliance activities, and assisting with driver training and reporting. The administrator plays a key role in promoting a culture of safety and accountability across the organization. Key Responsibilities • Compliance Management, • Maintain and update driver qualification files, DOT records, and compliance documentation., • Monitor hours-of-service logs, drug and alcohol testing records, and vehicle inspection reports., • Ensure adherence to FMCSA, DOT, and other regulatory requirements., • Ordering trip/annual overweight permits for tractors and loads., • Ensuring Cab Book documents are always current, • Oversee drivers’ HOS and ELD compliance, as well as provide coaching and discipline to those who violate HOS., • Assist with unassigned drive time and mileage skips., • ️ Safety Oversight, • Assist in developing and implementing safety policies and procedures., • Track and report safety metrics, including accidents, incidents, and violations., • Submitting accident/incident claims to insurance, • Host driver onboarding and orientation with new hires., • Serve as point of contact for designated group for driver behavior coaching in Samsara, • Oversee timely completion of driver monthly and yearly trainings., • Reporting & Auditing, • Prepare compliance reports for management and regulatory agencies., • Conduct internal audits of safety and compliance records., • Identify gaps and recommend corrective actions., • Manage driver fuel cards (Comdata & Pilot Axle), • Communication & Support, • Serve as a point of contact for drivers regarding questions about fuel cards, HOS, and other safety related items., • Coordinate with operations and HR to ensure consistent enforcement of policies., • Promote a positive safety culture through regular communication and reminders., • Assist operations with compliance related requests as needed, • Assist with preparing paperwork for DMV, • Cover the Fleet maintenance phone calls when Fleet Manager is unable, • Support data entry of maintenance records, • Assist with scheduling of preventative maintenance. Qualifications • 2+ years of experience in transportation safety, compliance, or administrative support., • Strong knowledge of DOT, FMCSA, and OSHA regulations., • Strong organizational skills with attention to detail., • Proficiency in Microsoft Office Suite and compliance management software., • Excellent communication and problem-solving abilities., • Ability to prioritize tasks, • Ability to work in a fast-paced environment o McCleod o Samsara o CPSuite o ISAAC Working Conditions • Office-based with occasional site visits or field audits., • Standard business hours with flexibility for urgent compliance needs.Company DescriptionHarbor provides transportation, truck/rail transload, and warehousing services in Charleston to diverse industrial and commercial counterparties.
