Job Description SUMMARY/OBJECTIVE The Dealership Accounting Manager is a key member of the corporate accounting leadership team, overseeing all vehicle billing, inventory accounting and title administration for all dealerships in the group. This position ensures accurate and timely deal posting, inventory control, manufacturer reporting and timely processing of title and registration documents while maintaining compliance with all regulations and internal controls. The role requires a strong understanding of dealership accounting processes, multi-entity financial operations, and staff supervision. As part of the corporate accounting leadership team, this manager plays a key role in maintaining financial integrity, supporting dealership operations, and ensuring consistency and accuracy across all store locations. ESSENTIAL FUNCTIONS: Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions. • Supervise the accurate and timely billing all new, used, wholesale, and dealer trade vehicles transactions across all locations., • Ensure proper recording of gross profit, F&I income, commissions, incentives, and chargebacks., • Monitor contracts in transit and wholesale receivables coordinating with F&I and the used vehicle managers to minimize funding delays, • Maintain strong internal controls over deal posting and revenue recognition., • Create, reconcile and pay VIT reports timely and accurately., • Oversee vehicle inventory accounting, including new, used, loaner and demonstrator units., • Reconcile inventory and we owe schedules daily/weekly/monthly., • Oversee dealer trades and intercompany inventory transactions across all locations., • Supervise title clerks and ensure timely processing of all vehicle titles and registrations., • Ensure compliance with state DMV regulations, manufacturer requirements and lender documentation standards., • Monitor title receivables and follow up on outstanding or problem titles., • Oversee payoff processing, lien releases, and duplicate title requests., • Complete monthly reconciliations including physical vehicle inventory and manufacturer vehicle inventory., • Develop and enforce standardized billing, inventory, and title procedures across all dealership locations., • Partner with the Controller and dealership management to track and minimize aged balances., • Recommend and implement process improvements for efficiency, accuracy, and scalability., • Support the Controller and Assistant Controller in audits, financial reviews, and data validation., • Supervise, train, and evaluate billing, inventory and title staff (7-9 direct reports) fostering a culture of accuracy, accountability, and continuous improvement., • Assist with special projects, reporting, and analysis as requested by executive management., • Other Duties: Job description is not designed to cover a comprehensive listing of activities, duties or responsibilities that are required of the employee. MINIMUM QUALIFICATIONS/SKILLS: • High School Diploma or General Education Diploma., • Bachelor’s Degree preferred, not required, • Minimum 5 years of experience in franchise dealership accounting with strong exposure to billing, inventory and title functions, preferably in a multi-dealership environment., • Strong knowledge of regulatory compliance and GAAP standards., • Working knowledge of DMV regulations and title processing requirements, • Advanced skills in Microsoft Excel, data analysis, and financial reporting tools., • Ability to lead, motivate and manage a staff of 7-9 direct reports., • Ability to effectively communicate accounting standards and requirements to all staff including operations., • High ethical standards, confidentiality, and attention to detail. This role routinely uses standard office equipment such as computers, phones, printers PHYSICAL DEMANDS: Physical requirements include occasional lifting/carrying of 5-10 pounds; visual acuity, speech, and hearing; hand and eye coordination and manual operate a computer keyboard and basic office equipment.
