Financial Controller — Suburban Transportation Group Suburban Transportation Group has kept Central New York moving for over 35 years. We run a 200+ vehicle fleet and a team of 300+ across non-emergency medical transport, paratransit, special-needs busing, and shuttle service — multiple affiliated companies across Central New York and the Capital Region. We're growing, and modernizing fast, and we're hiring a full-time Financial Controller to own the numbers behind all of it. The role You'll report directly to the CEO and be the single source of truth for the group's financials. This is a hands-on ownership role: you close the books, you consolidate across entities, you keep intercompany activity clean, and — critically — you keep improving the systems that produce our numbers. That means the accounting stack — Intuit Enterprise Suite and QuickBooks Online — and the operational systems behind it: dispatch and trip data, fleet and telematics, workforce and payroll. The financials are only as good as that data, and you'll own the pipelines that tie it all together. What you'll do · Own the monthly, quarterly, and annual close across multiple entities. · Deliver consolidated and entity-level statements with clear, useful analysis. · Keep intercompany billing, allocations, and eliminations accurate. · Turn operational data into trusted financials — trip/billing from dispatch platforms, vehicle data from fleet systems, labor data from workforce and payroll systems. · Improve and automate the accounting stack — fewer manual steps, cleaner data, tighter controls. · Run cash, AR/AP, budgeting, and forecasting; partner with the CEO on financing and planning. · Use AI (we lean on Claude daily) to automate the grunt work and sharpen analysis. · Own tax filings and contract/program compliance — sales & use tax, workforce utilization, NTD, and healthcare billing. · Work directly with our outside tax and financial-review advisors. What you bring · 5+ years of progressive accounting experience, including full-cycle close. · Multi-entity consolidation and intercompany experience. · Genuine fluency with QuickBooks Online and/or Intuit Enterprise Suite, plus the instinct to integrate and automate new tools. · Comfort pulling and reconciling data from operational platforms — dispatch, fleet/telematics, and workforce/payroll systems. · Strong Excel and data-cleanup skills. · CPA a plus. Experience with AP/payments automation or workflow-integration tooling a strong plus. · A direct, organized operator who owns the numbers and says what's true. · Genuine enthusiasm for AI tools as a force multiplier — we use Claude every day and want someone who'll run with it. Why join This is a build role with a straight line to the CEO — no layers, real ownership, and the chance to design how a modern multi-entity finance function actually runs. You'll have a CEO who's all-in on modern tooling and AI, so there's no fighting to try new things. Competitive base of $115,000–$140,000 depending on experience plus comprehensive benefits. How to apply: Email your resume and a short note to mji@suburbantransport.com. • Suburban Transportation Group is an Equal Opportunity Employer.

Job Description Position Summary The AP & AR Specialist is responsible for ensuring that the accounting system accurately and promptly reflects what the company owes and what it has earned. The position owns accounts payable and the assigned accounts receivable functions. It ensures expenses are properly coded, documented, reconciled, and paid on time, and that completed work and approved changes become timely, accurate customer billings. The role directly impacts cash flow, cash-flow planning, job-cost accuracy, month-end reporting, vendor relationships, and the company’s ability to understand true project profitability. Unentered invoices understate expenses and liabilities, can make profitability appear stronger than it is, and leave management with an incomplete view of upcoming cash needs; delayed billings and unrecorded receipts hold back or obscure cash the company has already earned. The objective is not speed alone, but accurate, efficient, and consistent processing that keeps the books as close to real time as practical. The first six months of employment are a training period, after which the employee is expected to perform both AP and AR functions with minimal oversight. Responsibilities: Accounts Payable Processing • Process vendor invoices promptly and accurately, entering the correct vendor, amount, invoice date, GL account, job, cost class, phase, task, and tax coding., • Maintain a steady daily processing pace throughout the week so invoices do not build into week-end or month-end backlogs., • Work with Project Managers and Foremen to obtain missing job, phase, task, PO, approval, or supporting information., • Scan and match invoices, packing slips, and POs; enter approved invoices into Foundation with support attached and maintain organized electronic records., • Ensure every transaction has the support, approvals, and coding needed to be reviewed, reconciled, and defended at month-end close, audit, or management review., • Prevent duplicate entries and resolve posting errors or discrepancies promptly., • Communicate promptly when volume, approvals, missing information, or other issues prevent normal processing. Vendor Management & Payments • Review vendor statements for missing invoices, credits, discrepancies, or duplicate activity., • Maintain vendor records, payment information, remittance addresses, W-9s, insurance certificates, WBE documentation, EINs, and other required information., • Verify all new or changed vendor bank information by phone call to the contact information already on file before any change is made., • Verify subcontractor insurance certificates are current at the time the contract is signed and again before each payment to the subcontractor., • Review AP aging and upcoming obligations so management has a complete view of upcoming cash requirements and payments are prepared according to vendor terms and cash-management priorities., • Prepare checks, ACH/EFTs, credit card payments, and other vendor payments. The Accounting Manager approves all payments and schedules ACH/EFTs; the Owner signs all checks., • Resolve vendor questions on unpaid invoices or account discrepancies to avoid late fees, missed discounts, account holds, or supply disruptions.
