Location: Dallas, TX (Onsite) Reports to: Chief People Officer About the Role We are seeking a knowledgeable and detail-oriented Total Rewards Manager to lead the day-to-day management and strategic development of our employee benefits programs, with additional responsibility for supporting the annual compensation cycle. This role is primarily focused on ensuring our health and welfare plans are well-administered, compliant, cost-effective, and competitive. As our organization evaluates its benefits funding strategy, this person will play an important role in assessing plan funding alternatives, including fully-insured, level-funded, and self-funded models, and partnering with leadership to determine the best path forward. What You'll Do Benefits Administration & Plan Management • Manage the daily administration of all employee benefit programs, including medical, dental, vision, life, disability, FSA/HSA, wellness, EAP, and voluntary benefits., • Oversee the annual renewal process, working with our broker to gather and analyze carrier or TPA proposals, evaluating plan design options, and supporting negotiations on rates and terms., • Partner with the benefits broker/consultant to benchmark plans against market, evaluate funding model alternatives, and coordinate RFPs when needed., • Support leadership in evaluating the feasibility of transitioning between funding models (fully-insured, level-funded, or self-funded) by gathering data, conducting preliminary analyses, and preparing recommendation materials., • Monitor plan utilization, enrollment trends, and employee feedback to identify opportunities for plan improvements and cost management., • Manage open enrollment end-to-end, including plan configuration, employee communications, benefits guides, and enrollment support., • Oversee relationships with insurance carriers, brokers, benefits administration vendors, and other plan partners, ensuring service level expectations are met. Compliance • Ensure all benefit plans comply with applicable federal and state regulations, including the Affordable Care Act (ACA), ERISA, COBRA, HIPAA, FMLA, Mental Health Parity and Addiction Equity Act (MHPAEA), Section 125, and GINA., • Manage ACA employer mandate compliance, including affordability testing and oversight of Forms 1094-C and 1095-C reporting., • Coordinate ERISA reporting and disclosure requirements, including Form 5500 filings, Summary Plan Descriptions (SPDs), and Summary of Benefits and Coverage (SBCs)., • Administer COBRA notifications and eligibility in accordance with federal requirements., • Ensure proper administration of Section 125 Cafeteria Plans and qualifying life event processing., • Stay informed on regulatory changes and communicate potential impacts to leadership. Compensation Support • Coordinate the annual compensation cycle, including merit increases, bonus processing, and promotional adjustments, in partnership with HR leadership and Finance., • Work with the Total Rewards Specialist to gather market data, prepare compensation reports, and support managers through the review process., • Help maintain job descriptions, salary ranges, and pay structures as directed by HR leadership. Operations & Collaboration • Collaborate with HCM and Payroll to ensure accurate benefits enrollment, eligibility feeds, carrier file integrity, and deduction accuracy., • Manage benefits-related data reporting and audits, including carrier billing reconciliation and enrollment audits., • Support the development and distribution of employee-facing benefits communications, guides, and educational resources., • Identify and implement process improvements to streamline benefits operations and improve the employee experience., • Directly supervise our Total Rewards Specialist, providing day-to-day guidance, coaching, and professional development support. Manage workload distribution across benefits administration and compensation cycle support, set performance expectations, and ensure timely and accurate execution of tasks., • Partner with Finance on benefits budgeting, invoice processing, and cost tracking. Required Qualifications • Bachelor's degree in Human Resources, Business Administration, or a related field., • 3–5 years of experience in benefits administration or benefits management., • Working knowledge of fully-insured health plan management, including renewal analysis, plan design, and carrier coordination., • Foundational understanding of ERISA, ACA, COBRA, HIPAA, Section 125, and related benefits compliance requirements., • Experience managing open enrollment processes and employee benefits communications., • Experience working with benefits brokers, carriers, and third-party vendors., • Strong analytical skills with the ability to evaluate renewal proposals, utilization data, and benchmarking reports., • Excellent organizational skills and attention to detail., • Strong communication skills with the ability to explain complex benefits information clearly to employees at all levels., • Proficiency in Workday, including benefits administration, eligibility configuration, and reporting. Preferred • PHR, SHRM-CP, CEBS, or other relevant professional certification., • Exposure to or familiarity with self-funded plan concepts, including stop-loss coverage and TPA administration., • Experience in organizations with 500+ employees across multiple states., • Experience with 401(k) plan administration and vendor coordination.
