The Legal Billing Specialist plays a critical role in maintaining the financial health of the firm. This position is responsible for the full billing cycle — including timekeeping oversight, invoice generation, payment processing, retainer management, and accounts receivable collections. You will ensure that all time entries are accurate, billing is timely and compliant, and client accounts remain in good standing. This role requires precision, confidentiality, strong communication skills, and the ability to work efficiently in a fast‑paced legal environment. For additional insight into our firm, please review the resources below: • Review the firm’s timekeeping system daily to ensure entries are accurate, complete, and properly coded., • Communicate with attorneys and staff to correct or clarify entries before billing deadlines., • Generate, review, and revise pre‑bills in accordance with firm policies and attorney feedback., • Review and monitor attorney and support staff billable‑hour accuracy, identifying discrepancies and ensuring timely corrections., • Manage the full end‑to‑end legal billing cycle, from time entry review through final invoice delivery and collections follow‑through. Invoice Preparation & Delivery • Prepare and finalize client invoices using legal billing software, including direct bill generation and e‑billing in Clio., • Ensure invoices comply with client‑specific billing arrangements, including LEDES formats and e‑billing portal requirements., • Deliver invoices promptly and track confirmation of receipt., • Generate pre‑bills and final invoices with accuracy and consistency Payments, Retainers & Trust Accounting • Process client payments via credit card, ACH, check, and payment portals., • Monitor trust and retainer balances; initiate replenishment requests and auto‑replenishment workflows., • Maintain compliance with trust accounting rules and firm procedures., • Oversee retainer replenishment, including taking payments and coordinating with clients as needed. Accounts Receivable & Collections • Track outstanding balances and follow up with clients in a professional, service‑oriented manner., • Conduct soft collections and escalate delinquent accounts as needed., • Handle collections in accordance with FDCPA regulations., • Support monthly financial reporting and assist with reconciliation tasks. Client & Internal Support • Respond to client billing inquiries with clarity, professionalism, and discretion., • Collaborate with attorneys, paralegals, and leadership to resolve billing discrepancies., • Maintain organized billing records and provide the firm with copies of all client‑provided and attorney‑drafted billing documents., • Work effectively within practice areas, including Family Law, Criminal Law, and Civil Litigation, understanding the billing nuances of each. Disputes & Adjustments • Work with merchant service providers and credit card companies to resolve disputes or chargebacks., • Prepare refund requests and process adjustments with Owner approval., • Ensure all billing activities align with firm policies, ethical standards, and regulatory requirements. Qualifications:, • Minimum 2+ years of legal billing experience in a law firm., • Proven experience managing the full end‑to‑end legal billing cycle, from timekeeping review through collections., • Proficiency with legal billing software and digital timekeeping systems, including experience generating bills and e‑billing directly in Clio., • Strong understanding of retainer and trust account management, including monitoring balances and taking replenishment payments., • Demonstrated ability to generate pre‑bills and final invoices accurately and efficiently., • Experience reviewing and monitoring attorney and support staff billable‑hour accuracy., • Familiarity with FDCPA‑compliant collections practices., • Prior experience working in a law firm specializing in Family Law, Criminal Law, or Civil Litigation is preferred., • Exceptional attention to detail, accuracy, and follow‑through., • Strong grammar, proofreading, and business‑writing skills., • Excellent communication skills with the ability to interact professionally with clients, attorneys, and staff., • Ability to manage multiple deadlines and prioritize effectively in a fast‑paced environment., • General understanding of basic accounting principles, trust accounting concepts, and confidentiality standards., • Highly organized, efficient, and comfortable working independently with minimal supervision., • Proficient in Microsoft Office (especially Excel) and familiar with accounting tools and digital workflows Physical Requirements: • Prolonged periods of sitting at a desk and working on a computer., • Must be able to lift up to 15 pounds at times.
