Job Summary: A & Associates is seeking an experienced Executive Administrative Assistant to provide high-level administrative and operational support to executive leadership. This role is critical to ensuring efficiency, organization, and effective communication across executive functions. The Executive Administrative Assistant will manage confidential information, coordinate executive priorities, and support daily operations in a fast-paced, professional environment. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. • Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel arrangements, • Prepare, review, and distribute executive correspondence, reports, presentations, and internal communications, • Coordinate and schedule meetings, conferences, and events; prepare agendas and meeting materials and document meeting minutes as required, • Serve as a liaison between executives, internal departments, and external stakeholders to ensure timely and accurate communication, • Manage executive calendars, prioritize appointments, and anticipate scheduling conflicts, • Handle confidential and sensitive information with discretion and professionalism, • Maintain organized electronic and physical filing systems for executive records and documents, • Assist with preparation and tracking of executive action items, deadlines, and follow-ups, • Coordinate logistics for executive travel, including itineraries, accommodations, and expense documentation, • Support onboarding logistics and administrative needs for senior leadership as required, • Assist with procurement, invoice processing, expense reports, and basic budget tracking for executive functions, • Maintain up-to-date contact lists, distribution lists, and organizational directories, • Prepare and submit reports and documentation to executive leadership as requested, • Support special projects, research tasks, and cross-functional initiatives assigned by executive leadership, • Ensure timely completion of administrative tasks to support organizational efficiency and decision-making QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. • Bachelor’s degree preferred or Associate degree with relevant experience, • Two (2) to four (4) years of experience in an executive administrative, senior administrative assistant, or similar role, • Strong organizational, time management, and prioritization skills, • Excellent written and verbal communication skills, • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and related office technology, • Ability to manage multiple priorities with minimal supervision in a fast-paced environment, • High level of professionalism, discretion, and attention to detail, • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions EEO STATEMENT A & Associates, Inc. provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin
