Job Summary Under general supervision of the Branch Manager, the Administrative Assistant is responsible for working closely with branch operations, sales staff and clientele. Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Administrative assistants are responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Essential job functions • Answer and direct phone calls, • Organize and schedule appointments and meetings, • Maintain contact lists, • Produce and distribute correspondence memos, letters, faxes, and forms, • Assist in the preparation of regularly scheduled reports, • Develop and maintain a filing system, • Provide information by answering questions and requests, • Handle multiple projects, • Contribute to team effort by accomplishing related results as needed, • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc., • Write letters and emails on behalf of other office staff, • Maintain computer and manual filing systems, • Handle sensitive information in a confidential manner, • Coordinate office procedures, • Reply to email, telephone, or face to face inquiries, • Greet and assist visitors to the office, • Photocopy and print out documents on behalf of other colleagues, • Provide polite and professional communication, • Implement clerical duties and administrative processes, • Conduct data entry Minimum requirements High School Diploma/GED; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. Abilities Required Administrative Writing & Typing Skills, Reporting Skills, Professionalism, Proficiency in Microsoft Office, Organization, Time Management, Verbal Communication, Attention to Detail, Accuracy, Multitask, Teamwork Compensation Disclosure This is a non-exempt, hourly position. The pay range for this role is $16.50 to $18.00 per hour, depending on experience and qualifications. Overtime is paid in accordance with California state and federal labor laws. Additional compensation, such as bonuses or incentive pay, may be available based on performance and business needs. At-Will Employment This position is classified as at-will employment in accordance with California law. Employment may be terminated by either the employer or employee at any time, with or without cause or notice, subject to applicable law. Work Location This position is fully remote. Employees may perform all job duties from a location outside of their main office or branch location, subject to reliable internet access and compliance with company policies.
