Job Description A member of the Human Resource team, the HRIS Analyst under direction of the Human Resources Manager (HRM), is in charge of maintaining the system, implementing (process) improvements, ensuring data quality, and analyzing and reporting on the data in the HRIS. The HRIS analyst is also the go-to subject matter expert for the system used in the organization. The HRIS Analyst oversees and performs all ADP and administrative payroll duties ensuring accurate timely processing and recording of the company’s payroll and financial information. This position manages payroll compliance and company guidelines/processes through ADP system implementations and developments. This position through the direction of the HRM will support Human Resources through department projects, developing existing and new programs, utilizing ADP and other adopted systems to meet long-term growth and goals. Works effectively with all levels of management across the organization to successfully achieve goals and objectives. Overview of Responsibilities • Partner with internal stakeholders to develop technology solutions that help to streamline and automate (new) HR processes, • Implement process improvements and policy changes designed to improve efficiency and the user experience with the system, • Serve as the go-to subject matter expert for the system used in the organization, • Serve as a system administrator for HR systems and applications, • Ensuring security, end-user access, and data integrity across all HR platforms, • Manages projects and process improvement, including applying change management experience to facilitate movement to new levels of quality., • Takes action that is consistent with available facts, constraints and probable consequences. Uses these data to build project plans and ensure adherence to schedule and other specifications., • Utilizes interpersonal skills when working with various customers and peers to accomplish project goals., • Recommends process/customer service improvements, innovative solutions, policy changes and/or major variations from established policy, which must be approved by appropriate leadership prior to implementation., • Performs system maintenance, including assisting in the review, testing and implementation of HRMS system upgrades or patches., • Provides production support, including researching and resolving HRMS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements., • Generates reports/queries, including writing, maintaining and supporting a variety of reports or queries utilizing appropriate reporting tools. Assists in development of standard reports for ongoing customer needs. Helps maintain data integrity in systems by running queries and analyzing data., • Conducts training, including developing user procedures, guidelines and documentation. Trains clients on new processes/functionality. Trains new system users., • Plans, develops and implements a variety of projects from beginning to end supporting long term-goals of HR, manages multiple projects simultaneously and continually manages project expectations with the SVPHR and communicates with team members clearly and timely, • Responsible for daily payroll operations and administration of ADP Workforce Now including the preparation and processing of bi-weekly payrolls (300+ multi-state employees), multiple companies, • Responsible for processing bi-weekly and monthly commissions, bonus and incentives within payrolls, as well as processing employee terminations and off-cycle paychecks, • Experienced with acquisitions and setting up new companies in ADP, • Responsible for managing all ADP system issues, working with ADP for prompt compliant resolutions, • Manages ADP time and attendance processing and interface with payroll, reviews and ensures accuracy of approved timecards; tracks and accurately processes garnishments and special payroll deductions, reconciles payroll prior to transmission and validates reports, • Establishes and maintains employee records in ADP Workforce Now; ensures employee changes are properly authorized, entered correctly and made on a timely basis, • Responsible for the coordination efforts between payroll, human resources, and other departments to ensure proper flow, maintenance and accuracy of employee data, • Understands proper taxation of employer paid benefits, • Processes various reports and queries including: payroll, expenses, taxes, deductions, leave, disability, general ledger, liabilities, month-end, quarter-end and year-end reporting, audits and on-going payroll research, • Maintains payroll guidelines by reviewing and updating policies and procedures, • Responsible for quarter-end tax reconciliation and processing any adjustments or amendments to previous quarter tax filing, • Responsible for year-end reconciliation, processing and distributing W-2’s and 1095c’s, processing special payments and adjustments as required, • Responsible for month-end reconciling and journal entry creation, • Assists end users by answering questions and requests, • Minimum of a High School Diploma; Bachelors/Associate Degree in Business Administration/Finance/Accounting preferred, not required, • Payroll Certifications (ex. ADP Certified Payroll Specialist, CPP, CPA, CPM) preferred, not required, • Highly experienced and proficient in ADP full-service HRIS, • 5 years of continuous progressive experience managing, preparing and processing multistate payrolls (250+ employees) using ADP or comparable Payroll/HRIS system, • Expert knowledge of HRIS and payroll best practices and understanding the flow of transactions in an integrated and automated payroll accounting system, • Excellent knowledge of technical controls and procedures, • Strong ability to handle and prioritize multiple tasks and meet deadlines, excellent organizational and problem solving and judgment skills, communicate with various levels of management, work independently and under pressure, high level of attention to detail and accuracy is a must, • Strong knowledge of federal, multiple work states and local regulations, • Strong PC skills including proficiency in Excel, MS Word, and Internet Explorer, • Strong work ethic and team player, • High degree of professionalism, must have ability to handle sensitive with confidential information, • Ability to communicate with various levels of management, • Ability to work a minimum of 8 hours per day, Monday through Friday, generally with shift start times between 8:00-8:30 a.m., as determined by senior management, • Ability to attend interoffice meetings and attend off-site seminars as required, • Ability to work overtime, holidays and weekends as requested by senior management, • Ability to sit for long periods of time, lift a minimum of 5 pounds, file, sit, stand, bend, reach, pull, • Annual Salary Range*: $71,250 - $95,000 per year, • Actual compensation may vary from posting based on work experience, education and/or skill level., • The hourly or salary range is the range Warner Pacific in good faith believes is the range of possible compensation for this role at the time of this posting.
